Job summary

Emapta in Makati is seeking an Office Administrator to support healthcare administration and compliance, care administration, visit reconciliation, recruitment coordination, and general coordination. This role offers meaningful exposure to the UK healthcare sector and a long-term global career with Emapta.

You will work onsite in Makati, with UK time hours (8:00 AM – 5:00 PM UK time), weekends off. Benefits include Day 1 HMO, salary advance, and ongoing training through Emapta Academy.

Qualifications

  • 3–5 years of relevant experience in administrative support, healthcare administration, compliance, recruitment coordination, or related field
  • Excellent spoken and written English with a clear, neutral accent

Responsibilities

  • Compliance administration: daily checks, review reports, escalate discrepancies, maintain records

Qualifications

Essential

  • 3-5 years of relevant experience in administrative support, healthcare administration, compliance, recruitment coordination, or a related field
  • Excellent spoken and written English with a clear, neutral, and easily understood accent
  • Confidence when communicating with UK-based clients, candidates, care professionals, and colleagues
  • Exceptional attention to detail when handling reports, reconciliations, records, and administrative data
  • Effective organizational, time-management, appointment-scheduling, and calendar-management skills
  • Proven ability to follow structured procedures, manage changing priorities, and escalation issues appropriately
  • Professional, friendly, patient, and empathetic telephone manner
  • Ability to quickly learn new systems, processes, and industry terminology
  • Sound judgment when handling confidential and sensitive information
  • Familiarity with compliance tracking, documentation, recordkeeping, management reporting, telephone systems, and call-routing procedures
  • Ability to work independently with initiative and adaptability
  • Willingness to work fully onsite
  • Flexibility to support month-end activities, audits, and other business requirements when needed
  • Availability to adjust start and finish times when operationally required and agreed upon in advance
  • Willingness to work approved additional hours in accordance with applicable overtime procedures

Desirable

  • Previous exposure to a UK home care, healthcare, or social care environment
  • Hands-on background in care administration, care planning, or visit coordination
  • Working knowledge of care plans, schedules, medication changes, and medication administration records
  • Recruitment screening or coordination experience
  • Practical involvement in invoicing, payroll administration, or reconciliation
  • Proficiency with care management or scheduling systems, particularly Birdie

Communication and Cultural Awareness

  • Comfort communicating with older adults and individuals with different British accents and dialects
  • Clear delivery, attentive listening, and flexibility across different communication styles
  • Warm, respectful, and culturally sensitive approach to every interaction

Responsibilities

Compliance Administration

  • Complete daily compliance checks and administrative activities in accordance with established procedures
  • Retrieve and review reports and records to confirm that all required information is complete and accurate
  • Identify discrepancies, missing information, and potential issues, escalating them to the appropriate UK team members
  • Maintain accurate compliance records and supporting documentation
  • Follow defined compliance procedures and complete all required checks within agreed timelines
  • Provide additional compliance-related administrative support to the UK team as required

Care Administration

  • Administer and maintain accurate care-related records and documentation
  • Assist with care plan updates and amendments after completing the required training
  • Process updates arising from changes in medication, family requirements, care arrangements, or client circumstances
  • Apply knowledge of home care terminology and procedures, including care plans, schedules, visits, and supporting documentation
  • Provide general care administration support based on team capacity and operational requirements

Visit Reconciliation and Month-End Support

  • Reconcile care visits and associated records to verify their accuracy and completeness
  • Confirm that care professionals have submitted the required hours and that visits have been recorded correctly
  • Identify and flag discrepancies involving visit durations, additional carers, supervision visits, and other adjustments that may affect invoicing or payroll
  • Prepare and verify information for submission to the external payroll team
  • Assist with month-end invoicing and payroll-related checks
  • Complete assigned month-end activities during the first few days of each month, with approximately 2 days of support depending on workload

Recruitment Administration

  • Conduct initial screenings of applicants and respond to recruitment enquiries
  • Contact candidates by telephone to confirm their location, commuting considerations, availability, right-to-work status, relevant experience, and other predefined criteria
  • Record clear, accurate, and useful qualitative notes from candidate conversations
  • Assess candidates' communication skills, professionalism, friendliness, and suitability against agreed criteria
  • Schedule interviews with the appropriate UK team members
  • Maintain accurate recruitment calendars and interview records
  • Organize and maintain candidate notes and supporting documentation

Telephone and General Office Administration

  • Answer incoming telephone calls and provide a professional and friendly first point of contact
  • Record accurate messages and route calls to the appropriate team members
  • Complete follow-up calls as required
  • Schedule appointments and maintain relevant calendars
  • Prepare administrative and management reports as requested
  • Provide general administrative support to the office and wider team
  • Assist with additional operational tasks as a flexible and dependable member of the office team
