Qualifications
- 3-5 years of professional scheduling experience within home care, logistics, or a related service environment
- Proficiency in Microsoft Office, Google Workspace, CRM platforms, and other business systems
- Familiarity with scheduling or workforce management systems; knowledge of Birdie or similar care scheduling software is advantageous
- Practical experience in data entry, administrative support, compliance monitoring, and records management
- Knowledge of workforce scheduling, resource allocation, and capacity management
- Excellent verbal and written communication, negotiation, and relationship-building skills
- Strong organizational, time management, prioritization, and multitasking capabilities
- Demonstrated attention to detail, logical thinking, and problem-solving abilities
- Capacity to work calmly, independently, and accurately under pressure while meeting deadlines
- Initiative to anticipate scheduling requirements and address operational concerns proactively
- Readiness to learn new technologies and adapt to changing business requirements

Responsibilities
- Build effective and efficient schedules for clients and Care Professionals, focusing on forward planning and adequate resource coverage.
- Prepare schedules that account for travel time, holidays, training commitments, and last-minute cancellations.
- Respond promptly to scheduling changes and coordinate appropriate solutions with relevant team members.
- Match Care Professionals with new clients in collaboration with the Client Services team and arrange introductions.
- Align client schedules with individual needs while maintaining consistent Care Professionals and visit times whenever possible.
- Establish positive relationships with clients and Care Professionals to promote reliable and rewarding care experiences.
- Collaborate with the Recruitment team to maintain sufficient current and future staffing levels.
- Coordinate with the Care Team to resource and schedule new and existing care packages promptly.
- Monitor outstanding e-learning and compliance requirements and follow up with Care Professionals through the Lumis system as needed.
- Add, update, and maintain accurate client and Care Professional information in the electronic scheduling system.
- Perform additional duties necessary to support the successful operation of the business.
