The Qualifications We Seek
- At least 5 years of experience in virtual reception, administrative support, or related administrative work
- Experience in a call center environment and/or administrative role
- Willingness to work in a hybrid arrangement, with onsite attendance twice a week at Emapta's Makati office
- Availability to work from 6:00 AM to 3:00 PM Philippine Time
Your Daily Tasks
- Support the administrative requirements of Carino Care.
- Answer telephone calls, manage enquiries, and direct matters to the appropriate employee or manager in Australia.
- Support resident enquiries, tours, admissions, transfers, room changes, and discharges.
- Enter and maintain accurate resident information across clinical, administrative, rostering, and billing systems.
- Enter and maintain accurate employee information, including document uploads and coding.
- Maintain resident and representative contact details and promptly record changes.
- Prepare correspondence, notices, reports, agendas, minutes, and other administrative documents.
- Coordinate appointments, meetings, room bookings, and facility calendars.
- Support resident and family meetings, consumer advisory activities, and other consultation forums.
- Receive complaints, compliments, and feedback respectfully, then record and raise them according to the organization's complaints management process.
- Support open disclosure processes and promptly refer concerns to the appropriate manager.
- Assist with recruitment administration, reference checks, onboarding, orientation, and employee personnel records.
- Assist with roster administration, shift vacancies, leave records, timesheets, and payroll documentation.
- Process accounts payable, including invoices, purchase orders, petty cash, resident accounts, and other basic financial transactions within delegated authority.
- Reconcile records, follow up on outstanding documentation, and refer account discrepancies to Finance or management.
- Order and maintain office supplies, stationery, forms, uniforms, and other approved items.
- Provide administrative support to the Care and Services Manager, clinical team, and other department heads.
- Assist with preparation for audits, accreditation assessments, regulatory reports, and internal compliance reviews.
- Collate operational data and prepare routine reports on occupancy, admissions, workforce, complaints, incidents, training, and other performance indicators.
- Participate in induction, mandatory training, performance reviews, team meetings, and continuous improvement activities.
- Perform other reasonable administrative duties consistent with the employee's skills, training, and delegated authority.
