Job Description
Talent Acquisition
- Sources and recruit’s candidates by placing job advertisements in appropriate recruitment platforms and social media
- Oversee recruitment process, screening, interviewing and recommending external and/or internal candidates for technical positions
- Prepares, distributes for approval and issues employment contracts and related documents for onboarding
- Coordinates the preparation, revision and maintenance of job descriptions with managers
- Conducts pre-employment documentation and orientation for new hires to ensure statutory compliance and excellent onboarding experience
- Creating a recruitment plan and calendar according to operation and sales projection
HRIS and Employee Records
- Ensures the efficient use of management information systems in recording and storing employee and employment data
- Maintaining physical and digital files for employees and their documents, benefits, and attendance records as well as their 201 Files
- Provides HR analytics for informed, data-driven HR decisions
- Generate official internal documents such as offer letters, appointment letters, and warning letters.
Training and Development
- Evaluates the need for employee training and development and makes recommendations
- Oversees the coordination and implementation of annual performance reviews
- Track performance reviews, support manages with feedback cycle, and organize training initiatives
Compensation and Benefits
- Provides salary recommendations of newly hired employees for management approval
- Implements and administers cost-effective benefit programs and policies
- Doing the timesheet extraction in preparation for payroll
- Support Finance with payroll and benefits administration
Employee Engagement
- Creating employee engagement plans, getting necessary budget approval and initiating activities
- Facilitate engagement activities and team building
- Lead onboarding and offboarding process to ensure smooth employee experiences
- Promote HR programs to create an efficient and conflict free workplace
Requirements
Key Responsibilities
- Policy Administration: Support the administration and implementation of HR processes and procedures to ensure total adherence to workplace policies.
- Guideline Development: Participate actively in developing organizational guidelines and procedures.
- Incident Investigations: Conduct thorough pre-investigations to uncover the root causes of workplace incidents and grievances, recommending appropriate resolutions.
- Disciplinary Action: Prepare Notices to Explain (NTE) and related documentation, endorsing them to the HR Manager during the initial phase of the disciplinary process.
- Issue Resolution: Assist in the timely resolution of employee relations challenges and departmental initiatives.
- Employee Lifecycle: Responsible for the onboarding process of both new hires and newly regularized employees across all company resources.
- Database Maintenance: Manage and maintain accurate, secure, and up-to-date employee records and HR databases.
- Verification & Queries: Assist with internal and external HR-related inquiries, including pre- and post-employment verifications, Certificates of Employment (COEs), and general questions.
- Performance Support: Support and assist the HR Manager in executing and administering the performance management process.
- Metric Tracking: Assist in monitoring employee performance metrics, scorecard compliance, attendance-related concerns, and other relevant HR indicators.
- Documentation & Reporting: Prepare HR-related reports, documentation, and departmental metrics as deemed necessary.
- General Support: Perform other HR projects and duties as assigned to support organizational goals.
Qualifications:
- Bachelor’s degree in Human Resource Management, Psychology, Business Administration, or a related field.
- Minimum of 2–3 years of progressive experience as an HR Specialist or HR Generalist.
- Strong understanding of local labor laws and employment standards, with direct experience handling disciplinary processes (including draftingNotices to Explain (NTE)and conducting incident pre-investigations).
- Familiarity with tracking performance metrics, monitoring employee scorecards, and managing attendance data.
- Proficiency in managing Human Resource Information Systems (HRIS), data entry, and maintaining meticulous employee records.
- Exceptional verbal and written communication skills for drafting formal HR documentation, reports, and addressing employee queries.
- High level of integrity and the ability to handle sensitive and confidential employee information with discretion.
- Strong analytical skills to conduct root-cause analysis on workplace grievances and recommend fair resolutions.
- Approachable demeanor with the ability to support employees at all levels and navigate complex employee relations issues smoothly.
