Onward Worldwide Management & Consultancy seeks a Junior Executive Assistant to the COO to coordinate the COO’s calendar, meetings, travel, and communications while handling sensitive information with discretion and maintaining strong organizational standards.
The role focuses on meeting coordination, executive support for strategic tasks, task follow-up, and efficient office operations to keep the COO aligned with company goals.
The Junior Executive Assistant to the COO serves as the primary point of contact for both internal and external relationships, ensuring the COO's needs and expectations are met. This role requires an individual who can exercise sound judgment in various situations, maintaining a balance between multiple priorities while demonstrating strong administrative, organizational, time management, and communication skills. The ideal candidate must be able to handle sensitive and confidential information with discretion, ensuring that all matters are managed with the utmost care. With a key focus on supporting the COO’s goals, the Executive Assistant must be able to communicate effectively, both in writing and verbally, and provide seamless administrative support, including scheduling, meeting coordination, and travel arrangements. The ability to prioritize tasks, solve problems independently, and manage expectations efficiently is essential in this dynamic and high-level position.
Meeting Coordination: Manage the COO’s calendar, ensuring meetings are scheduled efficiently. This includes coordinating with internal teams, preparing agendas, handling logistics, and making sure all necessary materials are ready.
Executive Support for Special Tasks: Assist the COO with high-priority tasks and strategic initiatives, ensuring they stay on track and align with company goals.
Task Delegation & Follow-Up: Help manage task assignments by tracking progress, following up on deadlines, and ensuring responsibilities are completed on time. Be proactive in anticipating needs and keeping things running smoothly.
Travel & Event Logistics: Handle logistics for external meetings and events, including coordinating travel, booking accommodations, and ensuring a seamless itinerary for the COO and guests.
Expense Tracking: Monitor and track the COO’s expenses, ensuring accurate documentation and budget compliance. This includes processing receipts, reconciling statements, and providing regular updates on financial matters.
Document Management: Keep important files and documents organized, both physically and digitally. Maintain records, draft reports, and ensure easy access to essential information.
Office Oversight: Support the smooth day-to-day operations of the COO’s workspace by managing office supplies, coordinating with administrative staff, and maintaining an organized and efficient environment.
Education: College degree Preferred qualifications:
Language :Fluent in English (can speak Mandarin is a plus)
Fresh Graduate with high honor
Excellent communication (oral and written), Presentation, Coordination, Time Management and Organization, Project Management, Stakeholder Management.
