Mighty Lynx Solutions Inc. is seeking a highly organized Admin/Executive Assistant to provide direct support to the COO. The role ensures the COO’s schedule, communications, and priorities are managed efficiently while handling daily administrative tasks across the organization.
The ideal candidate has a Bachelor’s degree in a related field, at least 1 year of admin experience, and strong communication skills. This on-site, full-time position requires discretion and professionalism.
We are seeking a highly organized, proactive, and detail-oriented Admin/Executive Assistant to provide direct administrative and operational support to the Chief Operating Officer (COO). The ideal candidate will serve as a trusted partner, ensuring the COO's schedule, communications, and priorities are managed efficiently while supporting daily administrative and operational functions across the organization.
Provide high-level administrative support to the COO, including calendar management, meeting coordination, and travel arrangements.
Perform general administrative duties such as filing, document management, data entry, and office coordination.
Serve as the primary point of contact between the COO and internal and external stakeholders.
Prepare reports, presentations, correspondence, and other documents on behalf of the COO.
Organize and maintain confidential files, records, and documents.
Assist in monitoring projects, deadlines, and key deliverables across departments.
Attend meetings, take accurate minutes, and ensure timely follow-up on action items.
Screen calls, emails, and requests, responding or escalating them as appropriate.
Coordinate executive meetings, company events, and other administrative activities.
Handle sensitive and confidential information with the highest level of professionalism and discretion.
Support day-to-day office administrative operations to ensure efficient workflow.
Bachelor's degree in Business Administration, Engineering, or any related field.
At least 1 year of experience in an administrative, executive assistant, or office administration role.
Experience in the construction, auxiliary systems, or electrical industry is an advantage.
Strong attention to detail and excellent written and verbal communication skills.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment.
High level of professionalism, integrity, and confidentiality.
Can start immediately.
Experience supporting C-level executives is an advantage.
Background or exposure to construction operations is an advantage but not required.
Experience in purchasing, procurement, warehouse operations, inventory management, fabrication or other administrative support functions is a plus.
Strong problem-solving and decision-making skills.
Has a strong sense of responsibility, accountability, and ownership of assigned tasks.
Excellent follow-through and organizational skills.
