Briobuild Co. is seeking an Executive Assistant to provide high-level support to top management, manage calendars, arrange travel, and handle confidential communications.
The role also coordinates across teams and liaises with clients and external partners in a dynamic construction/real estate environment. The ideal candidate will demonstrate discretion, strong bilingual communication, and the ability to multitask under pressure, with at least 2 years of experience in similar roles.
Reporting directly to the President and Vice President & COO (Top Management), the Executive Assistant provides high-level executive support and manages internal and external communications on their behalf. The role also serves as a liaison across teams to facilitate coordination on operational matters. The Executive Assistant works independently on projects from conception to completion, operates well under pressure, and handles confidential matters with sound judgment and discretion.
Executive Support
Keep the Top Management informed of upcoming commitments and responsibilities, following up proactively to ensure nothing is missed
Manage the calendars of the President & Vice President, including scheduling appointments and handling matters of a confidential nature
Arrange travel and accommodations as needed
Maintain high confidentiality while identifying and escalating urgent, sensitive issues from staff and partners to executive leadership
Coordination & Communication
Coordinate with concerned teams on certain operational matters, Admin concerns, and deliverables — including sensitive or confidential items — and recommend appropriate action, referral, or response based on reports, research, and data gathered
Liaise with client representatives, and external partners as instructed
Coordinate tasks to staff as directed by the President and Vice President and monitor timely completion
Plan and coordinate events and meetings on behalf of the Top Management, including logistics
Take and distribute minutes during meetings
Office Administration
Oversee office upkeep and supply inventory
Maintain the office filing system
Perform other administrative and secretarial duties as assigned
Bachelor's degree in Business Administration, Management, or related field
Minimum 2 years of experience as a Secretary, Administrative Assistant, or Executive Assistant
Prior experience supporting executives in a construction or real estate company is an advantage
Demonstrated ability to manage multiple priorities and deadlines with high attention to detail
Strong written and verbal communication skills in English and Filipino
Track record of proactive problem-solving and sound independent decision-making
Experience handling confidential or sensitive information with discretion
Proficient in MS Office (Outlook, Word, Excel, PowerPoint)
Willing to work a compressed workweek schedule (M-F, 8AM to 6:35PM)
