Job summary

SoftwareOne is seeking an Invoicing Specialist in the Philippines to manage invoicing, billing compliance, and accounts receivable processes for a global technology organization. You will work closely with Sales, Customer Success, Operations, Contract Management, and Finance to ensure invoices are accurate, compliant, and delivered on time.

Key tasks include preparing and validating invoices, reviewing pricing, terms, currencies and tax rules, supporting VAT and withholding tax compliance,

Qualifications

• Degree in Accountancy or related discipline.
• Experience in invoicing, billing, AR, or finance operations.
• Working knowledge of Philippine invoicing, VAT, withholding tax, and BIR.
• Experience with ERP/finance systems (e.g., Microsoft Dynamics 365).
• Strong analytical, organizational, and detail-oriented skills.
• Excellent communication and stakeholder management across teams.

Responsibilities

• Prepare, validate, and issue customer invoices per contracts, PO, and billing schedules.
• Review customer info, pricing, payment terms, currencies, and tax requirements for billing accuracy.
• Support VAT and withholding tax compliance with Philippine regulations.
• Perform billing reconciliations, investigate discrepancies, and assist month-end close.
• Collaborate with Sales, Customer Success, Operations, and Finance to resolve inquiries.
• Contribute to process improvements and automation to boost efficiency.

At SoftwareOne, our Finance team plays a critical role in supporting business growth, operational excellence, and customer satisfaction. We are looking for an Invoicing Specialist to support billing operations, invoicing compliance, and finance process excellence while ensuring accurate and timely invoice management across a dynamic business environment.

As an Invoicing Specialist, you will be responsible for managing invoicing and billing activities, ensuring compliance with company policies and Philippine statutory requirements. You will work closely with Sales, Customer Success, Operations, Contract Management, Finance teams, and customers to ensure invoices are accurate, compliant, and delivered on time while supporting efficient Accounts Receivable processes.

Key responsibilities:

• Preparing, validating, and issuing customer invoices in accordance with contracts, purchase orders, billing schedules, and supporting documentation.
• Ensuring billing accuracy by reviewing customer information, pricing, payment terms, currencies, and applicable tax requirements.
• Supporting compliance with Philippine tax regulations, including VAT, withholding tax requirements, and relevant BIR documentation.
• Performing billing reconciliations, investigating discrepancies, and supporting month-end closing activities to ensure financial accuracy.
• Collaborating with internal stakeholders and customers to resolve billing inquiries, invoice discrepancies, and documentation requirements.
• Contributing to process improvements, finance system enhancements, internal controls, and automation initiatives that improve operational efficiency.

Job Requirements

• Degree in Accountancy, Accounting Technology, Finance, Business Administration, or a related discipline.
• Experience in invoicing, billing, accounts receivable, finance operations, or related accounting functions.
• Working knowledge of Philippine invoicing requirements, BIR regulations, VAT, withholding tax, and related statutory compliance processes.
• Experience using ERP or finance systems such as Microsoft Dynamics 365 or similar platforms.
• Strong analytical, organizational, and problem-solving skills with excellent attention to detail.
• Strong communication and stakeholder management skills with the ability to work effectively across local, regional, and global teams.
