Job summary

SoftwareOne Philippines is seeking an Invoicing Specialist to support billing operations, ensure compliance with Philippine tax regulations, and drive accurate invoice processing in a global tech environment. You will collaborate with Sales, Customer Success, Operations, and Finance to resolve discrepancies, review pricing, terms, and documentation, and contribute to process improvements.

A degree in accounting and hands-on experience with ERP systems like Microsoft Dynamics 365 are preferred,

Qualifications

• Degree in Accountancy, Accounting Technology, Finance, or related discipline.
• Experience in invoicing, billing, accounts receivable, or related finance operations.
• Working knowledge of Philippine invoicing, VAT, withholding tax, and BIR regulations.
• Experience with ERP/finance systems such as Microsoft Dynamics 365.

Responsibilities

• Preparing, validating, and issuing customer invoices in accordance with contracts and billing schedules.
• Ensuring billing accuracy by reviewing customer information, pricing, payment terms, currencies, and tax requirements.
• Supporting compliance with Philippine tax regulations, including VAT and withholding tax, and relevant BIR documentation.
• Performing billing reconciliations, investigating discrepancies, and supporting month-end closing activities.
• Collaborating with internal stakeholders and customers to resolve billing inquiries and documentation requirements.
• Contributing to process improvements, finance system enhancements, and internal controls.

We are looking for an Invoicing Specialist to support billing operations, invoicing compliance, and finance process excellence while ensuring accurate and timely invoice management across a dynamic business environment.

As an Invoicing Specialist, you will be responsible for managing invoicing and billing activities, ensuring compliance with company policies and Philippine statutory requirements. You will work closely with Sales, Customer Success, Operations, Contract Management, Finance teams, and customers to ensure invoices are accurate, compliant, and delivered on time while supporting efficient Accounts Receivable processes.

Key responsibilities:

• Preparing, validating, and issuing customer invoices in accordance with contracts, purchase orders, billing schedules, and supporting documentation.
• Ensuring billing accuracy by reviewing customer information, pricing, payment terms, currencies, and applicable tax requirements.
• Supporting compliance with Philippine tax regulations, including VAT, withholding tax requirements, and relevant BIR documentation.
• Performing billing reconciliations, investigating discrepancies, and supporting month-end closing activities to ensure financial accuracy.
• Collaborating with internal stakeholders and customers to resolve billing inquiries, invoice discrepancies, and documentation requirements.
• Contributing to process improvements, finance system enhancements, internal controls, and automation initiatives that improve operational efficiency.

What we need to see from you

• Degree in Accountancy, Accounting Technology, Finance, Business Administration, or a related discipline.
• Experience in invoicing, billing, accounts receivable, finance operations, or related accounting functions.
• Working knowledge of Philippine invoicing requirements, BIR regulations, VAT, withholding tax, and related statutory compliance processes.
• Experience using ERP or finance systems such as Microsoft Dynamics 365 or similar platforms.
• Strong analytical, organizational, and problem-solving skills with excellent attention to detail.
• Strong communication and stakeholder management skills with the ability to work effectively across local, regional, and global teams.
