JOB SUMMARY
The Inventory Lead will be responsible for overseeing all inventory management processes within the deli and cafe. This includes receiving, ordering, purchasing, and managing stock levels to ensure optimal inventory control, reduce waste, and support smooth operations. The specialist will work closely with the Culinary Team, Procurement, and Operations to maintain accurate inventory records and implement best practices in inventory management.
MAIN DUTIES AND RESPONSIBILITIES
A. Key Accountabilities
Inventory and Stock Management
- Keep track and monitor stock levels to ensure ideal availability and sustainability
- Maintain proper stock levels, develop, and put into practice inventory replenishment plans.
- Ensure the correctness of inventory records, do routine cycle counts and physical inventories
- To conduct an accurate regular inventory count and reconcile discrepancies between physical count versus records.
- Manage near ex and expired items, identify and report any slow-moving items to avoid over-purchasing.
- Coordinate with the Culinary Team to anticipate and fulfill inventory needs for menu changes and special events.
Data analysis
- Examine inventory information to find patterns, anomalies, and potential improvement areas.
- Estimate inventory requirements and modify stock levels appropriately, based on historical data and market trends
- Create and provide thorough inventory reports that include information on inconsistencies, turnover rates, and stock levels.
- Utilize inventory management software to streamline processes and improve accuracy.
Discrepancy Resolution
- Investigate and resolve inventory variances and discrepancies in a timely manner efficiently
- Ensure compliance with external and internal audit
- Conduct RCA or ROOT CAUSE ANALYSIS approach when addressing issues regarding delivery, receiving, and product qualities.
- Identify or define the cause of problems, to produce a feasible solution.

Data Entry and Documentations
- Filing of relevant documents to help in monitoring and seamless inventory
- Maintain clear and organized records to ensure all reports and invoices are filed and stored properly
- Ensure that all official form is signed and approved by the authorized signatory
- Keep accurate recordings of all incoming and outgoing goods.
Vendor Management
- Forecast inventory needs based on sales trends and seasonal demands.
- Based on projected demand and inventory requirements, create, and manage purchase orders.
- Negotiate pricing and terms with suppliers to optimize costs.
- Maintain positive relationships with suppliers to ensure reliable supply chains.
- Work with suppliers to resolve any supply concerns and prompt delivery of goods.
- Assess the performance of your suppliers and collaborate with them to raise service standards.
Health and safety and sanitation compliance
- Observe safety regulations and procedures when handling stock items and using safe manual handling techniques.
- Maintaining storage, receiving area clean and well sanitized.
- Practice of FIFO and HACCP compliance
- Implement measures to prevent theft, damage, and loss of inventory.
- Verify that all inventory-related actions adhere to applicable regulations and company policies.
B. Educational/ Experience Requirements and Other Qualifications
- Preferably with a bachelor’s degree in supply chain management, Business Administration, or a related field.
- Short course certificate holder in a similar field.
- With at least 2 years’ experience of the same position or the following, receiving admin, stockman, storeroom attendant in a reputable food and beverage industry
- Preferably with inventory control and management experience
- Preferably with basic math skills.
- Proficiency in inventory management software and MS Office Suite.
C. Compensation, Benefits, and Work Schedule
- Schedule: 6 days a week, on a shifting basis (rotation includes morning & midshift).
- Incentives: Eligible for a share in the monthly Service Charge collection.
- Perks: Subject to a daily Meal Allowance.
