We are looking for a detail-oriented and highly organised Insurance Coordinator to support Australian clients and insurance businesses across the commercial, business, and general insurance sectors.
This role is ideal for someone with experience in insurance administration, policy servicing, claims coordination, underwriting support, or a similar insurance environment. You will work closely with Australian brokers, insurers, underwriting agencies, and clients to ensure insurance-related tasks, documentation, follow-ups, and administrative requirements are completed accurately and on time.
As an Insurance Coordinator, you will play a key role in keeping day-to-day insurance operations running smoothly. You will assist with policy administration, renewals, quotations, documentation, client records, insurer communication, and follow-up activities while ensuring deadlines and service requirements are consistently met.

Assist with the administration of commercial and general insurance policies
Maintain accurate client and policy information
Update client records, policy databases, and internal systems
Assist with new business, renewal, and policy servicing requirements
Follow up clients for outstanding information and documentation
Review policy information and identify missing or inconsistent details
Monitor policy changes, renewal dates, and outstanding requirements
Provide timely administrative support to Australian brokers and clients
Ensure client requests are recorded, actioned, and followed through to completion
Assist brokers with new business and renewal processes
Request quotations and supporting information from Australian insurers and underwriting agencies
Follow up outstanding quotations and insurer responses
Prepare quote comparison information for broker review
Assist with reviewing premiums, limits, excesses, coverage, and policy conditions
Coordinate renewal documentation and requirements
Track renewal deadlines and ensure tasks are completed within required timeframes
Assist in preparing information for insurer submissions
Identify missing information and coordinate with relevant stakeholders to resolve requirements
Prepare and maintain certificates of currency, policy schedules, endorsements, and other insurance documentation
Assist with processing policy adjustments, endorsements, cancellations, and renewals
Check documents for accuracy, completeness, and consistency
Organise and maintain electronic client and policy files
Ensure required documentation is properly saved and recorded
Distribute policy documents and relevant correspondence to clients and internal stakeholders
Assist with document requests, audits, and reporting requirements
Liaise with Australian insurers, underwriting agencies, brokers, and clients
Follow up insurers and underwriters regarding quotations, policy documents, endorsements, and outstanding requirements
Coordinate information between clients, insurers, and internal broking teams
Communicate professionally and clearly with Australian stakeholders
Assist brokers in managing day-to-day client and insurer requests
Escalate complex, urgent, or technical matters to the appropriate broker or team member
Maintain positive and professional working relationships with stakeholders
Maintain accurate records within broker management, CRM, and policy administration systems
Update client and policy information promptly
Monitor task lists, workflow queues, renewal schedules, and deadlines
Assist with invoicing, premium funding, payment-related administration, and reconciliation where required
Maintain organised records of correspondence and completed tasks
Assist with operational reporting and administrative requirements
Ensure all assigned tasks are completed accurately and within agreed service levels
Ensure client files and policy records are complete and up to date
Follow established internal processes, quality standards, and documentation procedures
Maintain confidentiality of client and insurance information
Review documents carefully to minimise errors and omissions
Assist with compliance checks, audits, and internal quality reviews
Ensure all work is completed accurately, consistently, and within required deadlines
Experience in insurance administration, insurance broking, policy servicing, underwriting, claims, or a similar role
Experience supporting Australian insurance businesses or clients is highly regarded
Basic to strong understanding of commercial insurance and general insurance products
Familiarity with insurance terminology, policy schedules, endorsements, premiums, limits, excesses, and coverage
Experience handling insurance documentation and policy administration
Strong attention to detail and organisational skills
Excellent written and verbal English communication skills
Proficient in Microsoft Office and Google Workspace
Experience with insurance broking, CRM, ERP, or policy management systems is an advantage
Ability to manage multiple tasks, clients, policies, and deadlines simultaneously
Strong follow-up and coordination skills
Ability to work independently while collaborating effectively with Australian teams
