Job summary

Outsource Accelerator is seeking a HubSpot CRM Coordinator to support the company’s CRM environment and data hygiene. You will manage records, tasks, dashboards, and workflows to keep sales, service, and leadership focused on value-driven activities.

Qualifications

  • Practical experience using HubSpot CRM in data-entry, sales support, customer service, marketing operations, or CRM administration.
  • Demonstrated experience maintaining CRM records, tasks, lists, filters, reports, and dashboards.
  • Proficiency with Microsoft 365 applications, especially Excel, Outlook, and Teams.
  • Ability to work accurately with imports, exports, spreadsheets, and structured data.
  • High school diploma or equivalent; associate degree or HubSpot training/certification preferred.

Responsibilities

  • Enter, update, and maintain company, contact, deal, ticket, and activity records in HubSpot.
  • Review CRM data for incomplete, duplicated, outdated, or inconsistent information and complete approved cleanup activities.
  • Maintain task queues, ownership assignments, due dates, and routine follow-up records; surface overdue or unclear items to the appropriate team member.
  • Help organize and filter HubSpot notifications so users receive relevant alerts without unnecessary noise.
  • Create and maintain dashboards, reports, saved views, lists, and basic filters based on defined business needs.
  • Support consistent pipeline and lifecycle-stage hygiene by monitoring required fields, record status, and process adherence.
  • Assist with imports, exports, bulk updates, and record association work using documented procedures and appropriate review controls.
  • Document recurring CRM procedures, field definitions, naming conventions, and cleanup standards. Use for training
  • Provide basic user support and coaching for routine HubSpot questions, escalating configuration or integration issues when needed.
  • Identify repetitive administrative work and recommend practical improvements that increase accuracy, consistency, or user focus.
  • Handle customer and company information carefully and follow company access, confidentiality, and data-quality expectations.

Position Purpose

The HubSpot CRM Coordinator provides hands-on administrative support for the company's HubSpot environment. Working Conditions:
  • Schedule:6 am - 3 pm PST
  • Onsite for the first 90 days
