Position Title: HubSpot Administrator

Responsible for:
The HubSpot Administrator is responsible for the day-to-day administration, configuration, maintenance, and optimization of HubSpot across Marketing and Sales. The role ensures HubSpot is reliable, scalable, and effectively supports lead management, marketing automation, sales processes, reporting, and data management.
This is a hands‑on role requiring strong technical knowledge of HubSpot, with responsibility for maintaining platform integrity, building automation and workflows, managing CRM data, supporting users, and continuously improving how HubSpot is used across the business.
Main Activities and Responsibilities:
HubSpot Administration
- Own the day-to-day administration, configuration, maintenance, and optimization of HubSpot Marketing, Sales, and Service Hubs.
- Manage CRM properties, objects, pipelines, lifecycle stages, lead statuses, lead scoring, routing, workflows, automation, users, and permissions.
- Build and optimize automation supporting lead management, nurturing, campaign execution, sales handoffs, and customer engagement.
- Regularly review HubSpot configuration and processes to improve platform efficiency, scalability, and usability.
Data & Governance
- Maintain CRM data quality, integrity, and consistency across contacts, companies, deals, and other HubSpot objects.
- Manage data imports, deduplication, enrichment, database hygiene, and regular data quality audits.
- Establish and maintain HubSpot standards, naming conventions, property definitions, and documentation.
- Ensure data privacy, consent, subscription, and governance requirements are correctly maintained within HubSpot.
Reporting & Integrations
- Build and maintain HubSpot dashboards and reports covering lead generation, funnel conversion, campaign performance, pipeline, attribution, and revenue contribution.
- Ensure reporting logic, data sources, properties, and definitions are accurate and consistent.
- Manage and troubleshoot HubSpot integrations, data synchronization, workflow errors, and other platform issues.
- Monitor platform health and proactively identify and resolve issues that may impact Marketing or Sales processes.
User Support & Enablement
- Serve as the primary HubSpot SME and point of contact for Marketing and Sales teams.
- Partner with stakeholders to translate business requirements into effective and scalable HubSpot Position Description.
- Provide troubleshooting, user support, documentation, and training to drive effective HubSpot adoption.
- Stay current on HubSpot releases and capabilities and recommend improvements that can strengthen business processes and platform performance.
Core Competencies:
- Advanced hands‑on expertise in HubSpot administration, particularly Marketing Hub and Sales Hub.
- Strong understanding of HubSpot workflows, automation, properties, objects, lists, lifecycle stages, lead scoring, pipelines, and reporting.
- Strong understanding of CRM data architecture, data quality, and governance.
- Ability to translate Marketing and Sales requirements into practical HubSpot configurations and automation.
- Strong analytical skills with the ability to build and troubleshoot reports and dashboards.
- Strong troubleshooting and problem‑solving capabilities.
- High attention to detail, particularly when working with CRM data, automation, and reporting.
- Strong documentation and process management skills.
- Ability to manage multiple HubSpot requests and priorities while maintaining platform governance.
Qualifications and Typical Experience:
- At least 3 to 5 years of hands‑on experience administering HubSpot in a B2B environment.
- Demonstrated experience managing HubSpot Marketing Hub and Sales Hub.
- Experience building complex workflows, automation, lead routing, lead scoring, lifecycle management, and CRM processes.
- Experience managing HubSpot properties, objects, pipelines, lists, forms, campaigns, and user permissions.
- Strong experience with CRM data management, database hygiene, imports, deduplication, and governance.
- Experience building HubSpot reports and dashboards covering marketing, sales, pipeline, and revenue performance.
- Experience troubleshooting HubSpot integrations and data synchronization issues.
- HubSpot certifications in Marketing Hub, Sales Hub, and/or HubSpot administration are preferred.
- Experience with HubSpot Operations Hub is an advantage.
- Experience working in B2B marketing, professional services, technology, or outsourcing environments is an advantage.
