About the role
This role manages day-to-day HR and administrative activities of the law office, handling employee records, onboarding, offboarding, payroll coordination, and general office administration while maintaining strict confidentiality of employee, client, and firm information.
Key responsibilities
- Manage day-to-day HR and administrative activities of the law office
- Maintain accurate and confidential employee 201 files, HR records, and personnel documentation
- Handle employee onboarding, offboarding, employment documentation, and administrative requirements
- Prepare employment contracts, certificates, HR letters, memoranda, and other personnel documents
- Monitor employee attendance, leave, overtime, and other HR-related records
- Coordinate payroll inputs and ensure timely submission of attendance, leave, deductions, and other payroll information
- Assist in recruitment activities, including job posting, applicant screening, interview scheduling, and coordination of pre-employment requirements
- Coordinate new-hire orientation and onboarding activities
- Assist employees with HR-related inquiries, policies, benefits, and administrative concerns
- Coordinate government-mandated employee requirements and documentation, including SSS, PhilHealth, Pag-IBIG, and other applicable requirements
- Coordinate with building administration, suppliers, contractors, couriers, and other service providers
- Process purchase requests, invoices, reimbursements, petty cash, and other administrative expenses.
- Maintain organized physical and electronic filing systems for HR and administrative records.
- Coordinate office maintenance, repairs, utilities, and other facilities-related concerns.
- Monitor office assets and maintain an updated inventory of equipment and supplies.
About you
- Degree in business administration, office management, legal studies, or related field
- Excellent organizational, communication, and leadership skills
- Proficiency with office software, legal management systems, and financial tools
- Professional demeanor and ability to handle confidential information
- At least 2 years as an HR Generalist/Administrative Officer, preferably in a legal setting
- Experience in law firm, business development, or client relations
