Private Advertiser in the Philippines is seeking an HR, Admin & Finance Officer to support HR, payroll, accounting, and office administration on-site at our growing construction company.

We are looking for a reliable, organized, and detail-orientedHR, Admin & Finance Officerto support the day-to-day operations of our growing construction company.
This is a multi-functional role responsible forHuman Resources, Office Administration, Payroll, and basic Finance & Accounting support. The ideal candidate is comfortable working in a small-company environment, can manage multiple responsibilities independently, and has strong organizational and record-keeping skills.
The position will work closely with Management, Head Office personnel, and project/site teams.
Maintain complete and updated employee and worker records, including 201 files.
Monitor daily attendance, DTRs, tardiness, absences, leaves, and overtime.
Prepare and process payroll based on approved attendance, rates, deductions, allowances, and other adjustments.
Maintain payroll records and prepare payroll summaries for Management approval.
Assist in recruitment, screening, interview scheduling, job offers, and employee onboarding.
Prepare employment-related documents such as job offers, contracts, notices, memoranda, clearances, and certificates.
Coordinate employee onboarding, offboarding, clearance, and final-pay documentation.
Monitor employee compliance with Company policies and assist Management with proper documentation of attendance, performance, and disciplinary matters.
Maintain records and assist with SSS, PhilHealth, Pag-IBIG, and other statutory employee requirements and contributions.
Handle the day-to-day administrative requirements of the Head Office.
Maintain organized physical and digital filing systems for HR, administrative, financial, and Company records.
Monitor office supplies and coordinate purchases and replenishment.
Coordinate with the Company messenger and other administrative support personnel.
Monitor Company permits, licenses, registrations, insurance policies, contracts, and other documents requiring renewal.
Prepare letters, memoranda, reports, forms, and other business correspondence as required.
Assist Management with scheduling, documentation, coordination, and other administrative requirements.
Coordinate with project/site personnel regarding submission of required documents and reports.
Maintain accurate records of Company expenses, payments, collections, cash advances, and liquidations.
MonitorAccounts Payable and Accounts Receivableand maintain updated schedules.
Monitor supplier/subcontractor billings and payment due dates.
Monitor client billings, collections, and outstanding receivables.
Prepare payment requests, checks/payment documentation, and supporting documents for Management approval.
Handle and monitor petty cash, including proper documentation and reconciliation.
Monitor employee and project cash advances and ensure timely liquidation.
Assist in preparing cash-flow and payment schedules for Management.
Organize invoices, official receipts, billing documents, vouchers, and other accounting records.
Coordinate with the Company's external accountant/bookkeeper for bookkeeping, BIR filings, financial reports, and other accounting requirements.
Ensure that financial transactions are properly documented and supported before processing.
Bachelor's degree inHuman Resources, Business Administration, Accounting, Finance, Management, or a related field.
Preferably2–5 years of relevant experiencein HR, administration, payroll, finance, bookkeeping, or a similar multi-functional role.
Experience in aconstruction, engineering, contracting, or project-based company is an advantage.
Knowledge of Philippine payroll practices and statutory requirements includingSSS, PhilHealth, and Pag-IBIG.
Basic knowledge of bookkeeping, Accounts Payable, Accounts Receivable, petty cash, cash advances, and financial documentation.
Proficient inMicrosoft Excel, Word, Google Sheets, and Google Drive.
Strong organizational and documentation skills.
High attention to detail and accuracy, particularly in payroll and financial records.
Able to handle confidential employee and Company information with discretion.
Able to prioritize multiple responsibilities and meet deadlines with minimal supervision.
Good written and verbal communication skills.
Honest, dependable, professional, and willing to take ownership of assigned responsibilities.
