The HR Administrative Officer has a dual-role position which provides essential administrative and clerical support to the Human Resources Department while also serving as the primary Executive Assistant to the President. The officer is responsible for maintaining critical HR records, supporting daily HR functions, and managing the confidential administrative affairs, schedule, and communications of the President's office to ensure smooth operation across both functions.
Manage the President's complex calendar, including scheduling, coordinating, and confirming internal and external meetings and appointments
Screen and manage incoming calls, emails, and correspondence for the President, prioritizing and handling sensitive information with discretion
Act as the point of contact between the President and internal departments, as well as external stakeholders
Arrange comprehensive travel itineraries, bookings, and accommodations for the President
Prepare and process expense reports
Prepare, format, and finalize confidential reports, presentations, high-level memos, and board materials for the President
Maintain accurate, organized, and confidential employee files (physical and electronic), ensuring compliance with HR and privacy regulations
Prepare, process, and track general HR paperwork, and inter-office HR memos
Provide administrative support for HR functions, including assisting with orientation logistics, tracking timekeeping and leave management, and supporting benefits administration
Handle general office duties for the HR department, such as data entry, filing, managing supplies, and assisting with general HR-related inquiries
Bachelor's degree in Business Administration, Human Resources, or a related field
Proven years of experience (e.g., 2-4 years) in a combined administrative/clerical role, with demonstrated experience supporting senior executives or management
Exceptional organizational skills and meticulous attention to detail, especially in record-keeping and scheduling
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for scheduling and executive document preparation
Excellent verbal and written communication skills with a professional demeanor and the ability to handle highly confidential information with utmost discretion and integrity
