Job summary

Hammerjack Pty Ltd in the Philippines seeks a scheduling coordinator to manage ROC department staffing and shift coverage. You will work with department managers to forecast needs, approve or adjust PTO and change requests, and publish schedules to ensure optimal coverage and efficiency.

The role requires a Bachelor’s degree in business or related field, 1+ years in staffing software, and UKG certification. Healthcare experience is a plus and on-site collaboration is expected.

Qualifications

• Bachelor's degree in business, Data Management, or related field required.
• 1+ years experience with staffing, workforce & scheduling software.
• UKG certification or equivalent accreditation preferred.
• Previous experience in a healthcare setting is desirable.

Responsibilities

• Creates and edits schedules for ROC supported departments in the electronic scheduling system in accordance with hospital policies, procedures, and guidelines.
• Collaborate with department managers to prepare accurate daily, weekly, and shift schedules that reflect forecasted staffing needs.
• Reviews, approves, or denies schedule requests (PTO, changes, preferences) based on department needs and guidelines, communicating outcomes to leaders.
• Balances and publishes schedules at the conclusion of self-scheduling periods to ensure coverage and efficiency.
• Assigns specialty roles based on unit-specific requirements and skill-mix standards.
• Determines vacancy rates by role and department; posts incentive shifts to address anticipated gaps.
• Maintains department schedules within the electronic staffing system to recruit additional personnel based on census, acuity, and budget.
• Prepares staffing and scheduling reports and distributes them to appropriate leaders.
• Reviews and maintains timecards for accuracy per policy and prepares them for manager review.
• Attends staffing meetings/trainings and participates in continuous improvement efforts.
• Assists with orientation or training on scheduling systems as needed.
