Job summary

Wilhelmsen Ship Management is seeking a proactive Hub Operations Coordinator to coordinate Hub Agreement related activities and ensure timely appointments are assigned to the appropriate agent. You will monitor port calls, work with agents and vendors, and support customers, Hub team and Sales in achieving service levels.

The role involves close collaboration with local port agents, reporting issues to the Global Hub team, and helping to resolve DA settlements with the Key Account Manager.

Responsibilities

• Coordinate allHub Agreement related jobs.
• Ensure that all appointments are handled without delay and assigned to the appointed agent.
• Monitor the execution of the port call and work closely with appointed agent and customer’s contracted vendors to meet customer expectations.
• Follow up relevant local port agents for operational and DA requirements.
• Provide ships agency support and advice to customers, Hub team and Sales.
• Assist and support the WPS network on administrative, technical and commercial issues.
• Use customer specific information related to Ships Agency to promote products and services and engage in solving customer challenges.
• Assist with conceptualising and pricing of Hub Agreements with Sales.
• Register and maintain agency agreement information in IT systems.
• Report and take corrective action with Key Account Manager or Sales Executive to ensure sales budgets and contractual obligations are fulfilled.
• Ensure adherence to regulatory issues pertaining to Ships Agency.
• Gather feedback on technical, service quality and commercial issues raised by customers to various managers.
• Gather information to help investigations and resolution in Final DA Settlement disputes.
• Follow up complaints/non-compliances through improvement/complaint system.
