FLEET SERVICE SENIOR MANAGER
POSITION SUMMARY

The Fleet Service Senior Manager is responsible for providing strategic leadership and overall management of ATPI's fleet service operations. The position ensures that all company vehicles, particularly armored and operational vehicles, are safe, reliable, roadworthy, properly maintained, and available for deployment.

The role oversees the Fleet Service team, preventive and corrective maintenance programs, vehicle inspections, repairs, spare parts requirements, fleet documentation, service providers, and maintenance budgets.

The Fleet Service Senior Manager works closely with Operations, Procurement, Finance, Security, and other departments to ensure that fleet requirements are addressed efficiently and that vehicle downtime is minimized.

KEY RESPONSIBILITIES
1. Fleet Service Management
  • Provide overall leadership and direction to the Fleet Service Department.

  • Ensure the availability, reliability, and operational readiness of ATPI vehicles.

  • Establish and implement fleet maintenance policies, procedures, and standards.

  • Monitor the overall condition and performance of the company's fleet.

  • Develop strategies to improve fleet efficiency, reliability, and vehicle utilization.

2. Preventive & Corrective Maintenance
  • Develop and monitor preventive maintenance programs for all fleet vehicles.

  • Ensure scheduled maintenance is completed on time.

  • Oversee corrective repairs, troubleshooting, and major vehicle maintenance activities.

  • Monitor recurring mechanical issues and develop appropriate corrective actions.

  • Review maintenance history to identify trends and prevent repeated vehicle breakdowns.

  • Ensure proper inspection and testing before vehicles are released for deployment.

3. Vehicle Operational Readiness
  • Ensure that vehicles assigned for daily operations are safe and ready for deployment.

  • Coordinate with Operations regarding vehicle requirements and deployment schedules.

  • Prioritize repairs involving vehicles needed for critical operations.

  • Monitor vehicle downtime and develop action plans to reduce delays.

  • Ensure that vehicles with safety or mechanical concerns are properly assessed before deployment.

4. Leadership & People Management
  • Supervise and provide direction to Fleet Service Managers, Supervisors, mechanics, technicians, and other assigned personnel.

  • Establish departmental goals, performance standards, and work schedules.

  • Monitor employee productivity and performance.

  • Conduct coaching, mentoring, and performance evaluations.

  • Identify training and development requirements of Fleet Service personnel.

  • Promote teamwork, accountability, discipline, and compliance with company policies.

5. Fleet Maintenance Budget & Cost Control
  • Develop and monitor the Fleet Service Department's maintenance budget.

  • Analyze repair and maintenance costs and identify opportunities for cost reduction.

  • Review repair estimates and recommend cost-effective solutions.

  • Monitor spare parts consumption and maintenance expenses.

  • Ensure that cost-saving initiatives do not compromise vehicle safety and operational reliability.

  • Prepare budget forecasts and expenditure reports for management.

6. Spare Parts & Inventory Coordination
  • Coordinate with Procurement and Inventory teams regarding spare parts requirements.

  • Monitor availability and proper utilization of critical spare parts.

  • Establish appropriate controls for parts issuance and consumption.

  • Review parts usage and identify unusual or excessive consumption.

  • Ensure that required parts are available to minimize vehicle downtime.

7. Vendor & Service Provider Management
  • Manage relationships with accredited dealerships, repair shops, suppliers, and service providers.

  • Evaluate vendors based on quality, cost, turnaround time, and reliability.

  • Review quotations and service proposals.

  • Ensure outsourced repairs and services meet ATPI's quality and safety standards.

  • Address service issues and negotiate appropriate solutions with vendors.

8. Compliance & Fleet Documentation
  • Ensure that vehicle records and maintenance documents are complete and updated.

  • Monitor vehicle registration, inspection, insurance, permits, and other required documentation.

  • Ensure compliance with applicable transportation, vehicle safety, and company requirements.

  • Establish proper documentation and monitoring systems for maintenance and repairs.

  • Ensure audit findings related to fleet operations are properly addressed.

9. Fleet Safety & Risk Management
  • Implement and maintain fleet safety standards and procedures.

  • Monitor vehicle-related incidents, breakdowns, and mechanical failures.

  • Lead or participate in investigations involving vehicle-related incidents when required.

  • Identify potential fleet risks and recommend preventive measures.

  • Ensure unsafe or defective vehicles are properly identified and restricted from deployment until cleared.

10. Reporting & Data Analysis
  • Prepare regular Fleet Service performance reports for management.

  • Monitor key fleet indicators such as:

    • Fleet availability

    • Vehicle downtime

    • Preventive maintenance compliance

    • Repair turnaround time

    • Maintenance expenses

    • Breakdown frequency

    • Spare parts consumption

    • Vehicle incidents

  • Analyze fleet data and provide recommendations for operational improvement.

11. Cross-Functional Coordination
  • Coordinate with Operations to ensure sufficient vehicles are available for daily requirements.

  • Work with Procurement regarding parts, equipment, and external services.

  • Coordinate with Finance regarding budgets and fleet-related expenses.

  • Work with HR regarding manpower, training, employee performance, and disciplinary matters.

  • Coordinate with Security and other departments regarding operational vehicle requirements.

QUALIFICATIONS
Educational Background
  • Bachelor's degree in Mechanical Engineering, Automotive Engineering, Automotive Technology, Industrial Engineering, Operations Management, Business Administration, or a related field.

  • Relevant technical certifications or professional licenses are an advantage.

Experience
  • Minimum of 7-10 years of relevant experience in fleet management, automotive maintenance, transportation, or vehicle operations.

  • At least 3-5 years of experience in a managerial or senior supervisory position.

  • Experience handling a large fleet or multiple locations is highly preferred.

  • Experience in armored transport, cash-in-transit, logistics, security transport, or similar industries is an advantage.

Technical Competencies
  • Strong knowledge of vehicle maintenance and repair processes.

  • Knowledge of preventive and corrective maintenance programs.

  • Knowledge of fleet asset management and vehicle lifecycle management.

  • Knowledge of spare parts and maintenance inventory management.

  • Proficient in Microsoft Office, particularly Excel, for reporting and data analysis.

  • Knowledge of fleet management or computerized maintenance systems is an advantage.

WORKING CONDITIONS
  • Primarily based in the Fleet Service office, garage, or assigned ATPI facility.

  • Regular coordination with ATPI branches, hubs, and operational locations.

  • May require field visits and vehicle inspections.

  • May be required to respond to urgent vehicle or fleet-related concerns outside regular working hours.

  • Must be able to work in a fast-paced operational environment where fleet availability is critical to business operations.
