General Function
Responsible for managing fleet insurance, compliance, vehicle maintenance, and financial tools (fleet cards, RFID). Ensure all vehicles are insured, registered, and maintained while handling insurance claims and renewals. Monitors fleet expenses and supports asset management tasks, ensuring proper documentation and tracking of company vehicles.
1. FLEET INSURANCE & COMPLIANCE
CTPL & Comprehensive Insurance Management
- Manage the issuance, and monitoring of CTPL (Compulsory Third Party Liability) and comprehensive insurance policies for all company vehicles.
- Ensure all insurance policies are up-to-date and compliant with legal requirements, preventing lapses in coverage.
- Maintain accurate records of insurance documents, including policy numbers, renewal dates, any claims history
INSURANCE CLAIMS PROCESSING
- Act as the primary point of contact for insurance companies in the event of accidents or damage to company vehicles
- Manage the entire process of insurance claims, from documentation collection to claim submission, and follow up to ensure timely processing.
- Work closely with relevant departments to gather necessary documentation, including photos, repair invoices, and police reports, to support insurance claims.
LTO REGISTRATION & RENEWAL
- Ensure all company vehicles are registered with the Land Transportations Office (LTO) in accordance with local government regulations
- Handle the timely renewal of vehicle registrations to avoid penalties or operational disruptions
- Keep detailed records of LTO registration numbers, renewal dates, and related documents for compliance audits
2. VEHICLE MAINTENANCE & REPAIR MONITORING
- Monitor the regular maintenance and repair schedules of all company vehicles to ensure they are in good operational condition
- Coordinate with service providers and mechanic to schedule necessary repairs, maintenance, and inspections for fleet vehicles, ensuring compliance with safety standards and regulations
- Maintain a log of all repairs, maintenance activities, and costs, ensuring that the fleet is properly maintained and operational at all times
- Ensure that fleet vehicles undergo routine checks and that any urgent repairs are promptly addressed to avoid downtime and ensure the safety of the drivers
3. FLEET CARD, RFID & AUTOSWEEP MONITORING
FLEET CARD MANAGEMENT
- Oversee and monitor the usage of fleet cards for fuel, tolls, and other vehicle-related expenses
- Ensure that all fleet card transactions are properly recorded and within budgetary limits
- Regularly review fleet card usage reports to ensure compliance with company policies and identify any discrepancies or unauthorized usage.
RFID & AUTOSWEEP MANAGEMENT
- Ensure all vehicles are equipped with the necessary RFID tags for all toll payments
- Monitor the usage of RFID and Autosweep accounts, ensuring they are adequately funded and that toll expenses are accurately tracked.
- Regularly review and reconcile RFID transactions to maintain accurate financial records and ensure that fleet vehicles can access toll roads without issues.
4. SUPPORT TO ASSET-RELATED DUTIES (AS NEEDED)
COORDINATION WITH ASSET STAFF:
- Collaborate with Asset Management staff to ensure accurate asset documentation for all fleet vehicles
- Work closely with the Asset Team on any inventory updates, asset tracking, or vehicle disposals
- Support the Asset Management team in ensuring that fleet vehicles are correctly tagged and tracked in the company's asset management system.
