Our client is looking for a dedicated, highly organized Executive Assistant to work directly with their Director/CEO. This is a focused EA role designed to take complete ownership of the Director's inbox, calendar, and daily task workflow. A primary expectation for this position is taking the lead in training the Director on how to utilize and delegate to an EA in the most efficient way possible.
Inbox Management: Monitor, triage, and reply to emails; flag priority items for personal attention, and draft executive correspondence.
Calendar & Schedule Management: Own calendar scheduling end-to-end, resolve conflicting commitments, and prioritize key obligations.
Meeting Coordination: Organize meetings, sit in to take comprehensive notes, record action items, and follow up to ensure execution.
Task & Priority Tracking: Manage the Director's daily task list, keeping priorities on track and following up on outstanding items with internal team members.
Proactive Planning: Anticipate upcoming needs, conduct preliminary research, and compile briefing materials prior to important decisions or external meetings.
Gatekeeping & Communication: Act as a professional primary point of contact for external partners, customers, and staff while maintaining discretion.
Travel Logistics: Coordinate domestic or international travel bookings and build detailed itineraries as required.
Experience: Minimum of 5years of proven experience as an Executive Assistant or Personal Assistant directly supporting a senior executive or business owner.
Proactive Leadership: Proven capability to drive process improvements and establish optimal working habits between executive and assistant.
Communication Skills: Exceptional written and verbal English communication abilities.
Tech Proficiency: High comfort level navigating email, calendar tools, and task management systems (e.g., Outlook, Asana).
Organizational Skills: Superior time management with a calm, fast-paced, get-it-done approach under pressure.
Confidentiality: Demonstrated sound judgment and strict adherence to handling sensitive business information.
Prior experience supporting a founder or CEO within a small-to-medium enterprise (SME).
Background in FMCG, retail, or fast-moving commercial environments.
