Fanbi Food, Inc. is seeking an Executive Assistant to the COO to act as a trusted partner to the executive team. The role centers on proactive administrative support, high-level calendar management, and efficient coordination of meetings and travel.
Based in Pasig, on-site, the ideal candidate will have 1–3 years supporting executives, strong English communication, and meticulous organization to handle confidential information and multiple priorities.

What You’ll Do:
Manage the executive’s calendar, appointments, meetings, and daily schedule
Coordinate meetings, prepare materials, take minutes, and track action items
Manage emails, calls, correspondence, and meeting requests
Prepare, format, and proofread reports, presentations, letters, and other documents
Arrange business travel, transportation, accommodations, and itineraries
Process expense reports, reimbursements, purchase requests, and related documents
Maintain organized and confidential electronic and physical files
Track deadlines, approvals, commitments, and follow-ups
Coordinate with employees, clients, suppliers, government offices, and other stakeholders
Conduct research and prepare summaries or briefing materials when needed
Support special projects, company events, and executive initiatives
Anticipate administrative needs and proactively address concerns
Handle sensitive company and personnel information with strict confidentiality
Have a Bachelor’s degree in Business Administration, Office Administration, Communications, or a related field
Have 1–3 years of experience in administrative support; experience supporting executives is an advantage
Have strong organizational, coordination, and time-management skills
Be proficient in Microsoft Office and Google Workspace
Be comfortable using video conferencing and collaboration tools
Have strong written and verbal English communication skills
Have high level of discretion and ability to handle confidential information
Be proactive, dependable, detail-oriented, and able to manage multiple priorities
Full on-site at Pasig City (near Bridgetowne)
Monday to Friday (weekends off)
Availability to start ASAP is a PLUS
