Job description

The role serves as the trusted coordinator and key operational partner to high-level executives to ensure the seamless management of executive priorities, stakeholder engagements, communications, schedules, and special assignments.

This role acts as the central coordinating point for matters requiring the executive's attention to bring structure, order, and disciplined execution across competing priorities and stakeholders.

As the steward of the executive, the role serves as both a facilitator and gatekeeper, ensuring executive time is allocated to the highest-value priorities while maintaining strong relationships throughout the organization.

KEY RESPONSIBILITIES
Executive Affairs & Strategic Coordination
  • Serve as the primary coordinator of matters requiring the executive's review, input, approval, or decision.
  • Ensure proper alignment and follow-through of executive directives across functions.
  • Monitor critical business priorities, commitments, and action items on behalf of the executive.
  • Anticipate issues, identify bottlenecks, and facilitate timely resolution through effective stakeholder coordination.
  • Act as a trusted extension of the executive's office in managing day-to-day executive affairs.
Executive Calendar, Protocol & Priority Management
  • Manage and optimize the executive's calendar based on business priorities and strategic objectives.
  • Evaluate and prioritize requests for meetings, appointments, and engagements.
  • Coordinate executive itineraries, events, speaking engagements, and official functions.
  • Ensure appropriate protocol and executive etiquette are observed during high-level engagements and events.
  • Prepare briefing materials and background information for meetings and external engagements.
Stakeholder Management
  • Manage interactions with senior executives, board members, government officials, strategic partners, and VIPs.
  • Maintain productive relationships while protecting executive focus and organizational priorities.
  • Exercise diplomacy, tact, and sensitivity in managing competing stakeholder interests and expectations.
Communications & Correspondence
  • Draft, review, and coordinate executive correspondence, presentations, memoranda, and official communications.
  • Handle highly confidential, sensitive, and privileged information with the utmost discretion.
  • Support the President & CEO in maintaining effective communication with internal and external stakeholders.
  • Develop a strong understanding of the company's business, operations, priorities, and performance metrics.
  • Consolidate and synthesize information from various business units into concise executive reports and dashboards.
  • Monitor key initiatives and provide status updates to support executive decision-making.
  • Track commitments, deadlines, and deliverables arising from executive meetings.
QUALIFICATIONS
  • Bachelor's Degree in Business Administration, Public Administration, Management, Political Science, Communications, or a related discipline.
  • Minimum of 8-10 years of relevant experience in Executive Affairs, Executive Office Management, Chief of Staff support, Executive Administration, Corporate Affairs, Government Relations, or similar roles.
  • Experience supporting senior government officials, heads of agencies, cabinet-level executives, CEOs, presidents, chairpersons, or business owners is highly preferred.
  • Experience interacting with VVIPs, dignitaries, high-profile stakeholders, and family ownership groups is an advantage.
