1) Document Management: Ensure correct, up-to-date, and built up-file formatting for all technical and safety related documents.
2) Ensure that the following document versions are correctly managed and updated across project teams, including real‑time controls for versioning and traceability, ensuring each team member's local copy of the document is up‑to‑date.
3) Ensure timely and compliance with industry and safety regulations for documents, ensuring the team's adherence to legal compliance requirements.
4) Distribute controlled documents to project teams, clients, and external contractors, as well as provide point-of-contact for all document control activities and communications.
5) Archive all documentation appropriately to ensure easy retrieval, maintaining both physical and electronic document filing systems for future reference.
6) Coordinate with engineers, contractors, and other project teams to ensure documentation is delivered on time and meets project requirements; also attend project meetings to provide status updates on documentation.
7) Utilize software tools (ODOO, Nextcloud) to manage documents, and provide technical support and training to staff on document control systems and processes.
8) Generate reports on documentation status, ensuring timely submission of documents, outstanding approvals, and compliance issues, and prepare regular status updates while maintaining detailed logs of document flow.
9) Implement document security measures to safeguard sensitive information and control access to confidential data.
10) Responsible for managing Daily Activity Report, accomplishment and organizing all work‑related documents and ensuring that they are easily accessible, up‑to‑date and properly stored.
