About the role
Net Pacific, Inc. is seeking a detail-oriented and organised Document Controller to join our growing administration team in Paranaque City, Metro Manila. This is a full-time position that plays a vital role in managing, organising, and maintaining critical business documentation. As a Document Controller, you will be responsible for implementing and maintaining document management systems that ensure compliance, accessibility, and proper record keeping across the organisation. This position is instrumental in supporting operational efficiency and helping the company meet regulatory and quality standards through effective records management and document control.
Key responsibilities
- Manage and maintain digital and physical document storage systems, ensuring documents are properly organised, indexed, and easily retrievable
- Implement document control procedures and policies to ensure compliance with company standards and regulatory requirements
- Review, verify, and approve documents for accuracy, completeness, and adherence to organisational guidelines before distribution
- Track document versions and maintain a comprehensive audit trail of all changes, amendments, and approvals
- Coordinate with various departments to collect, receive, and process documents in a timely manner
- Maintain and update document registers, logs, and metadata to ensure accurate record keeping
- Conduct regular audits of document management systems to identify areas for improvement and ensure compliance
- Train staff on document control procedures and best practices for document handling and storage
- Manage document retention schedules and coordinate the safe disposal or archival of obsolete records
- Identify opportunities to streamline document control processes and implement continuous improvements
What we're looking for
- Proven experience in records management, document control, or a similar administrative role within a professional environment
- Strong knowledge of document management systems (DMS) and experience with relevant software or databases
- Excellent organisational and filing skills with meticulous attention to detail
- Proficiency in Microsoft Office applications, particularly Excel and Word
- Understanding of document control standards, compliance requirements, and regulatory frameworks relevant to the industry
- Strong communication skills and the ability to liaise effectively with colleagues across multiple departments
- Ability to work independently whilst maintaining a collaborative approach with team members
- High level of confidentiality and discretion when handling sensitive or proprietary documents
- Certification in records management or document control (preferred but not essential)
- Experience with electronic filing systems and version control procedures (preferred)
