The Qualifications We Seek
Must Have
- 3 to 5 years of experience in bookkeeping, administration, or virtual assistant roles supporting a small business
- Hands-on Xero experience, including invoice entry, bank reconciliation, and accounts payable
- Experience managing business social media, including content scheduling and caption writing
- Proficiency in Google Workspace, including Gmail, Drive, Docs, and Sheets
- Proficiency in setting up new digital tools and using AI tools for content creation and administrative tasks
- Strong written English communication skills
- Proactive and organized approach to managing multiple priorities
Nice to Have
- Experience supporting Australian businesses, particularly in construction, building, or trades
- Familiarity with construction invoicing and subcontractor-heavy projects
- Basic website editing experience using WordPress, Squarespace, Wix, or similar platforms
- Proficiency in design tools such as Canva
- Experience coordinating external agencies or contractors
Your Daily Tasks
Bookkeeping (Xero)
- Monitor the business inbox and identify supplier and trade invoices from painters, electricians, plumbers, subcontractors, clients, designers, and suppliers
- Enter, code, and file invoices and receipts in Xero
- Match invoices and receipts to the correct projects
- Reconcile bank transactions weekly to maintain accurate and current financial records
- Follow up on missing invoices or required information
- Consolidate outstanding queries into a weekly list for the owners
- Liaise with the external accountant or bookkeeper on transactions and period-end requirements
Inbox and General Administration
- Filter and prioritize emails
- Flag correspondence that requires the owners' attention
- Respond to routine inquiries
- Maintain organized project files in Google Drive
- Maintain a weekly action list for owner review and approval
- Monitor and respond to website and social media inquiries
- Refer qualified leads to the owners
Marketing and Social Media
- Plan and publish regular social media content using the company's library of professionally photographed projects
- Write engaging captions aligned with the company's brand
- Set up scheduling tools and AI-assisted workflows to automate content publication and reporting
- Maintain current website content, including project galleries and business updates
- Research marketing opportunities
- Source proposals from external agencies and contractors
- Present recommendations for a 12-month marketing plan
- Coordinate and manage external marketing contractors
Systems and Processes
- Recommend and implement tools, automations, and AI integrations to reduce manual work
- Document processes to ensure consistency, repeatability, and effective handover
