Qualifications

• 1-3 years of experience in accounting, bookkeeping, or a similar administrative or finance role.
• Basic understanding of accounting principles and double-entry bookkeeping.
• Proficiency in Microsoft Excel.
• Strong written and verbal communication skills, including client emails about balances and payments.
• Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
• Trustworthy and discreet handling of confidential financial information.

Responsibilities

• Accounts Receivable & Billing: monitor payments and apply to customer accounts.
• Accounts Receivable: audit, issue invoices, statements, and reports in Xero.
• Accounts Payable: code and process vendor invoices and POs in Xero, Dext, Float; reconcile statements.
• General: match bank transactions, maintain records, support audits and process improvements.

The Qualifications We Seek

• 1-3 years of experience in accounting, bookkeeping, or a similar administrative or finance role, including internship or co-op experience
• Basic understanding of accounting principles and double-entry bookkeeping
• Proficiency in Microsoft Excel, including formulas and basic spreadsheets
• Strong attention to detail and accuracy when handling numbers and financial records
• Strong written and verbal communication skills, including confidence in communicating with clients via email regarding account balances and payments
• Ability to manage multiple tasks and meet deadlines in a fast-paced environment
• Trustworthiness and discretion when handling confidential financial information

Your Daily Tasks

Accounts Receivable & Billing

• Monitor incoming payments and apply them accurately to customer accounts
• Audit customer accounts and transactions to ensure accurate and timely billing
• Prepare and issue invoices, statements, and related reports in Xero according to company standards
• Review and calculate interest charges, verify account balances, and ensure accurate coding of financial documents
• Contact clients with overdue accounts to arrange payments and resolve discrepancies professionally
• Provide customer service support for payment processing, refunds, and account inquiries
• Reconcile the accounts receivable sub-ledger with the general ledger regularly

Accounts Payable

• Review, code, and process vendor invoices, purchase orders, and employee expense reports in Xero, Dext, and Float
• Verify invoices against purchase orders and receipts before processing
• Maintain accurate vendor records and respond to vendor inquiries
• Reconcile vendor statements and resolve discrepancies

General

• Match bank account cash transactions in Xero to support the month-end close
• Maintain accurate and organized financial records and supporting documentation
• Support internal and external audits by providing requested documentation
• Support process improvements across financial workflows and systems
• Collaborate across teams to confirm cash transaction matching and AR/AP communications
• Perform other related duties as required
