Doerly Works in the Philippines seeks a Vehicle Relocation Coordinator to own relocation processes from order intake to final delivery. You will bridge customer Experience with carrier brokerage, sourcing haulers, onboarding carriers, and maintaining performance records to drive reliable service.

The Vehicle Relocation Coordinator is the single point of accountability for a vehicle relocation from order intake through final delivery. The role sits deliberately at the intersection of two disciplines: customer-facing relocation coordination, and carrier-facing brokerage work.
On one side, the Coordinator is the voice of the company to corporate account contacts and transferees, including setting expectations, communicating proactively, and resolving issues before they escalate. On the other, the Coordinator is the operator who sources, onboards, and manages the network of automobile haulers that physically move those vehicles, and who maintains the performance record that determines which carriers the company trusts with a customer’s asset.
A successful candidate will not simply execute an existing process, they will help build it,
documenting the workflows, carrier standards, and communication practices that the function will scale on.
Order Intake: Accept and acknowledge new vehicle relocation orders from designated corporate accounts; confirm vehicle details, origin and destination, contact information, and any special handling requirements.
Introductory Contact: Conduct introductory calls with transferees; explain the vehicle relocation process end to end, confirm timelines, and provide ReloLinq documentation and points of contact.
Expectation Setting: Set realistic, honest expectations regarding pickup and delivery windows, transit times, inspection procedures, and what the transferee is responsible for at each end.
Proactive Communication: Serve as the consistent point of contact throughout transit; provide status updates at defined milestones rather than waiting to be asked, and elevate delays to the customer before they discover them independently.
Issue Resolution: Troubleshoot exceptions including delays, access problems, vehicle condition disputes, missed appointments, and drive them to resolution with the carrier, the transferee, and the account.
Post-Delivery Follow-Through: Manage the closeout process including delivery confirmation, condition report reconciliation, damage claims intake, and customer satisfaction follow-up.
Account Support: Respond to corporate account and relocation management company inquiries; provide shipment status reporting and support the account relationship with accurate, timely information.
Carrier Sourcing: Identify and recruit qualified automobile haulers, open and enclosed, across the lanes we serve, building depth in high-volume corridors and coverage in difficult ones.
Onboarding & Vetting: Execute the carrier onboarding process end to end: collect and verify operating authority (MC/DOT), certificates of insurance and cargo coverage limits, W‑9 documentation, safety ratings, and signed carrier agreements.
Confirm authority and insurance remain active before dispatch.
Standards Communication: Ensure every carrier clearly understands our service standards before their first load - condition report requirements, photo documentation, communication expectations, appointment adherence, professional conduct with transferees, and escalation protocol.
Day-to-Day Relationship Management: Serve as the carriers & primary contact for dispatch, load assignment, rate discussion, paperwork, and problem resolution. Build the kind of working relationships that get our priority capacity when the market tightens.
Rate Negotiation: Negotiate competitive per-vehicle rates consistent with market conditions and our margin targets; elevate exceptions and non-standard lanes to leadership.
Capacity Planning: Anticipate coverage gaps by lane and season; develop backup carrier options for critical lanes so a single carrier failure does not become a customer failure.
Performance Documentation: Maintain a disciplined, current record of every material carrier interaction (both positive and negative) including on-time pickup and delivery performance, condition and damage incidents, communication responsiveness, professionalism with transferees, and billing accuracy.
Scorecard Maintenance: Build and maintain carrier scorecards that make performance visible and comparable, so dispatch decisions are driven by evidence rather than habit.
Preferred & Restricted Lists: Recommend carriers for preferred status and flag or remove carriers whose performance falls below our standards; document the rationale in every case.
Compliance Monitoring: Track insurance and authority expiration dates and pursue renewals proactively; suspend carriers from dispatch when documentation lapses.
Root Cause Review: Analyze service failures and claims to identify recurring patterns and recommend corrective action.
Dispatch & Documentation: Assign loads, issue dispatch confirmations and rate
confirmations, and ensure bills of lading and vehicle condition reports are complete, legible, and filed.
System Discipline: Maintain comprehensive, accurate, and timely notes and data in our internal systems and in customer-facing platforms, so any colleague can pick up a file cold and know exactly where it stands.
Billing Support: Verify carrier invoices against agreed rates, reconcile discrepancies, and support accurate customer invoicing.
Process Building: Document and continuously improve the standard operating procedures for both the customer and carrier sides of the role as ReloLinq scales.
Cross-Functional Coordination: Work closely with New World Van Lines Customer Service and New World Transportation Systems counterparts to ensure the household goods move and the vehicle relocation present as one seamless experience to the customer.

High school diploma or equivalent; college coursework or degree preferred.
Three (3) to five (5) years of experience in customer service, logistics coordination, freight or auto transport dispatch, brokerage, or relocation services.
Working knowledge of the automobile hauling market: open versus enclosed transport, broker/carrier dynamics, operating authority and insurance requirements, and typical transit expectations, or demonstrated ability to acquire it quickly.
Excellent verbal and written English communication skills, with a clear, neutral, professional telephone manner suitable for direct contact with U.S. corporate clients and transferees.
Exceptional organizational skills and the ability to manage a high volume of concurrent files without losing detail.
Strong independent decision-making and problem-solving judgment; comfort acting without close supervision.
Meticulous record-keeping habits and genuine attention to documentation accuracy.
Demonstrated ability to hold a vendor or partner accountable to a standard while preserving the working relationship.
Proficiency with Microsoft Office (Outlook, Excel, Word) and confidence learning proprietary TMS or order management software.
Ability to work well independently and as a contributing member of a small, growing team.
Direct experience in auto transport, vehicle logistics, or a car hauling brokerage.
Experience onboarding or vetting motor carriers, including FMCSA authority and insurance verification.
Prior experience supporting U.S. corporate relocation or global mobility accounts.
Experience contributing to the build-out of a new process, program, or business line.
