Job summary

Move One, Inc. is seeking a Move Coordinator for a remote, independent contractor role based in the Philippines. You will work a night shift to cover CET business hours and serve clients across Europe and the Balkans, acting as the primary contact throughout the relocation process.

You must have fluent English, hands-on HHG or courier coordination experience, strong organization, and proficiency with MS Excel and MS Office. French is a plus.

Qualifications

Responsibilities

• Client communication as single contact for clients, internal teams, and partners; respond within 24 hours.
• Coordinate and monitor packing, transport, storage, customs clearance, and final delivery.
• Prepare shipping instructions, customs docs, and invoices; ensure compliance with procedures and standards.
• Maintain shipment statuses; inform clients of delays or changes.
• Handle service disruptions, claims, and exceptions promptly and professionally.
• Ensure accurate invoicing and collect prepayments from prepay customers before service delivery.

Position Summary

The Move Coordinator manages every stage of a household goods relocation, from origin to destination, ensuring on-time delivery, cost efficiency, and a high level of customer satisfaction. This is a remote, independent contractor role based in the Philippines, working a night shift to cover European (CET) business hours and serve clients across the Balkans and Europe. This role is the primary point of contact for clients throughout the moving process and requires fluent English and hands-on experience coordinating household goods moves or courier/parcel delivery services.

Key Responsibilities

• Client Communication – Serve as the single point of contact for clients, internal teams, and external partners; respond to all inquiries within 24 hours.
• Move Planning & Execution – Coordinate and monitor packing, transport, storage, customs clearance, and final delivery for all moves.
• Documentation & Compliance – Prepare shipping instructions, customs documentation, and invoices; ensure compliance with company procedures and international relocation standards.
• Shipment Tracking – Maintain up-to-date shipment statuses using internal and external systems; proactively communicate delays or changes to clients.
• Issue Resolution – Handle service disruptions, claims, and exceptions promptly and professionally.
• Financial Accuracy – Work with vendors, Sales, Finance, and Billing to ensure accurate invoicing, and collect prepayments from prepay customers before service delivery.

Qualifications and Experience

• Minimum 1 year of coordination experience in moving, logistics, or freight forwarding.
• Hands-on experience managing household goods (HHG) moves or courier/parcel delivery services is strongly preferred.
• Fluent, professional English (written and verbal) is required. Customers are trusting us with a delicate, personal part of their lives, so the Move Coordinator must be able to reassure and guide them clearly: explaining services in plain terms, setting precise and realistic scheduling expectations, and making sure they feel well looked after at every step. This also means collaborating fluently and accurately in English with the customer, our local team, vendors, shipping lines, and customs. French is a plus.
• Strong organizational and problem-solving skills.
• Proficiency in MS Excel and other MS Office applications.
