Operations and Administrative Associate
We are seeking a highly organized and detail-oriented Operations and Administrative Associate to support our daily business operations. This role combines e-commerce operations, inventory management, documentation, and accounting support to ensure accurate order fulfillment, updated pricing, and reliable data management across company systems.
The ideal candidate is proactive, analytical, and capable of handling multiple responsibilities in a fast-paced environment. Candidates with experience in administration, e-commerce, inventory, or accounting systems are encouraged to apply.
Key ResponsibilitiesOperations and E-Commerce Support
- Process and monitor orders across all e-commerce platforms.
- Coordinate with warehouse and delivery teams to ensure timely and accurate order fulfillment.
- Take and maintain photo documentation of all e-commerce orders before dispatch.
- Monitor and maintain accurate inventory levels across all e-commerce channels.
- Serve as the stock manager for e-commerce inventory.
- Assist in resolving order discrepancies, returns, and fulfillment-related concerns.
Pricing and Product Management
- Update and maintain company price lists.
- Ensure product costs, selling prices, and product information are accurate and up to date.
- Create, update, and maintain product records in QuickBooks.
- Coordinate with management regarding price changes and new product listings.
QuickBooks and Purchasing Support
- Encode and maintain purchase orders in QuickBooks.
- Create and update item records, including descriptions, costs, and pricing.
- Ensure accurate and timely encoding of purchases and inventory transactions.
- Maintain data accuracy and integrity within QuickBooks.
Administrative and Documentation Support
- File, organize, and maintain physical and digital records.
- Review invoices, purchase documents, and supporting records for completeness and accuracy.
- Assist in the preparation and verification of alphalist schedules and related documentation.
- Handle administrative requirements and special projects as assigned by management.
Qualifications
- Bachelor's degree in Business Administration, Accountancy, Management, Commerce, Supply Chain Management, or a related field.
- Experience in administrative support, e-commerce operations, inventory management, or accounting functions is an advantage.
- Working knowledge of QuickBooks or similar accounting systems is preferred.
- Proficient in Microsoft Excel, Google Sheets, and Microsoft Office applications.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Excellent communication and problem-solving skills.
- Willing to learn and adapt to new systems and processes.
- Fresh graduates with relevant internship experience are welcome to apply.
Compensation and Benefits
- Daily rate: ₱750 per day
