We are looking for a professional, organized, and service-oriented Administrative Front Desk Specialist to manage our reception area and provide administrative support to the company.
The ideal candidate has excellent communication skills, a professional appearance, and is comfortable communicating in Chinese, Filipino, and English.
Manage the company’s front desk and welcome visitors in a professional and courteous manner.
Answer, screen, and transfer phone calls; take messages and ensure timely follow-up.
Respond to and coordinate inquiries received and other communication channels.
Maintain the cleanliness, organization, and professional appearance of the reception and common areas.
Handle incoming documents, bills, courier deliveries, and visitor registration.
Assist with meeting arrangements, meeting room bookings, and preparation of meeting materials.
Manage office supplies and fixed assets, including receiving, organizing, and distributing items.
Coordinate daily transportation or vehicle arrangements as needed.
Assist in organizing company events, activities, and training sessions.
Coordinate with different departments on administrative matters.
Assist with office safety, facilities, and general workplace maintenance.
Perform other administrative and ad hoc duties assigned by management.
Bachelor’s degree in Administration, Hospitality Management, Business Administration, Secretarial Studies, or a related field is preferred.
1–2 years of experience in administrative, reception, front desk, or customer service roles.
Proficient in Chinese, Filipino, and English, both verbal and written.
Proficient in Microsoft Office, particularly Word, Excel, and PowerPoint.
Strong communication, interpersonal, and coordination skills.
Professional, presentable, courteous, and service-oriented.
Highly organized, detail-oriented, and responsible.
Able to work independently and as part of a team.
Flexible and capable of handling ad hoc tasks and unexpected situations.
Willing to learn company procedures and administrative processes.
Experience in a hotel, corporate office, or large-scale front desk environment.
