Astra Multimarket Corp. is seeking an Administrative & Facilities Officer to manage the company’s building, facilities, supplies, and administrative services. You will ensure a safe, organized workplace and coordinate with contractors and vendors to maintain operations.
The role requires a degree in business/office administration and 1–2 years of relevant experience, with strong organizational, communication, and multitasking abilities. Office-based position in Metro Manila, Philippines.
The Administrative & Facilities Officer is responsible for the effective management and coordination of the Company's building, facilities, supplies, and general administrative services. The position ensures that the workplace is safe, organized, properly maintained, and adequately supported with necessary supplies and administrative resources.
Monitor the overall condition, cleanliness, safety, and proper maintenance of company facilities
Coordinate building repairs, maintenance, and other facility-related concerns with contractors, suppliers, and service providers
Monitor and report facility issues requiring immediate attention
Coordinate preventive maintenance schedules for equipment, facilities, and other company assets
Assist in processing monthly requests for office and pantry supplies, furniture, fixtures, and office equipment, including inventory monitoring and distribution to branches and departments
Prepare and process requests and purchase requisitions for office and facility requirements
Manage the issuance and monitoring of gate passes, visitor passes, and other access-related documents
Coordinate with suppliers, contractors, building management, and service providers regarding administrative and facility requirements
Create and process Job Orders, Job Contracts, and contractors' billing in the system, ensuring completeness and accuracy of supporting documents
Prepare reports on supplies, facilities, maintenance activities, and other administrative matters as required
Bachelor's degree in Business Administration and Office Administration, or a related field
At least 1–2 years of experience in administration, facilities management, office management, or a similar role
Experience in building/facilities coordination is an advantage
Good organizational and time-management skills
Good communication and coordination skills
Proficient in Microsoft Office applications, particularly Word and Excel
Able to manage multiple administrative tasks and priorities
Detail-oriented, reliable, and organized
Can work independently and coordinate effectively with different departments and external service providers
