Mary Grace Cafe is seeking an Administrative Staff to provide front-line administrative and logistical support for smooth office operations. You will handle office supplies, reception, inventory monitoring, and coordination of deliveries and pull-outs.

The Administrative Staff provides front-line administrative and logistical support to ensure smooth and efficient office operations. The role handles office supplies and business tools issuance, reception and front desk support, inventory monitoring, and coordination of deliveries and pull-outs.
Monitor stock levels of office supplies, cleaning materials, pantry items, and other office consumables.
Receive and process requests for office supplies and ensure proper documentation of issued items.
Maintain accurate inventory records and conduct periodic physical counts.
Prepare, encode, and file records related to inventory, item issuance, and returns.
Facilitate the issuance of company business tools, including laptops, mobile devices, keys, uniforms, and SIM cards.
Maintain records of company assets issued to employees.
Assist in the retrieval of company-issued items during employee resignation, transfer, or reassignment.
Welcome and assist visitors, applicants, vendors, and other guests in a courteous and professional manner.
Handle incoming calls and direct inquiries to the appropriate department.
Maintain the cleanliness and organization of the reception area and visitor logbook.
Monitor the movement of deliveries, inter-branch items, returns, and other items through the pull-out and drop-off area.
Ensure proper tagging and documentation of packages, equipment, and other items.
Coordinate with logistics personnel to ensure timely dispatch and acknowledgment of deliveries.
Coordinate with Purchasing, HR, IT, and Admin teams regarding requisitions, employee onboarding, asset issuance, and clearance.
Report discrepancies, missing or damaged items to the Admin Supervisor.
Provide general administrative support as needed.
Bachelor’s degree in Office Administration or a related field
At least 1 year of experience in administrative work, inventory management, customer service, or a related role is preferred.
Basic knowledge of inventory or asset tracking.
Proficient in MS Office and Google Workspace.
Good communication and interpersonal skills.
Highly organized, detail-oriented, and reliable.
Professional and customer-oriented attitude.
Full-time, on-site in our Paranaque Office
8 working hours per day, 6 days per week
