Job summary

Te Papa in Wellington is seeking a Sales and Functions Coordinator to support the Venue Sales team in delivering conferences, exhibitions, functions and events at Te Papa and Tākina Wellington Convention and Exhibition Centre.

You'll coordinate from enquiry to invoicing, prepare proposals and contracts, maintain CRM and revenue data, and work with Food & Beverage, Operations and technical teams to ensure a seamless client experience.

Qualifications

• Experience in administration, event coordination, hospitality, sales support or customer service.
• Excellent organisation, time management and communication skills.
• Strong attention to detail and stakeholder management skills.
• Proficiency with Microsoft Office and CRM/event management systems.

Responsibilities

• Coordinate conferences, functions, exhibitions and events from enquiry through to invoicing.
• Prepare proposals, quotations, contracts and event documentation.
• Maintain accurate CRM, sales pipeline, event and revenue information.
• Support client communications and enquiry management.
• Work closely with Food & Beverage, Operations, Hosts, Technicians and Facilities teams to deliver successful events.
• Support trade shows, famil programmes and post-event reporting.
• Gather client feedback and identify opportunities for service improvement.
