You will build strong client relationships, coordinate with internal teams and suppliers, and ensure events are delivered to a high standard while managing budgets and timelines. Flexibility for evenings, weekends and holidays is required.
Eventfinda Stadium is one of the busiest stadiums in Tāmaki Makaurau/Auckland. We host over 70 events every year and welcome around 400,000 people from across the country. From concerts and boxing events to dinners, banquets, community activities and internationally televised sports, no two days are the same, and that’s what we love.
We’re looking for a motivated and organised Sales & Event Coordinator to join our team and help bring a wide range of events to life.
If you enjoy building client relationships, turning ideas into well-planned events and seeing everything come together on event day, this could be the role for you.
You’ll manage the event sales and booking process from initial enquiry through to planning, delivery and post-event follow-up. This is a varied role combining sales, project coordination, budgeting, customer service and hands-on event delivery.
The role would suit someone with events or hospitality experience who is ready to take on more responsibility. You’ll need strong organisational skills, attention to detail, commercial awareness and the ability to think on your feet. Flexibility is essential, including evenings, weekends and public holidays as required.
You’ll work closely with clients and internal teams to coordinate events from start to finish, ensuring every event is delivered safely, professionally and to a high standard.
As Sales & Event Coordinator, you’ll be responsible for:
Managing event enquiries, bookings and coordination from start to finish.
Building relationships with prospective and existing clients, understanding their needs and promoting the capabilities of the venue.
Assisting with venue marketing and developing new client contacts.
Coordinating venue visits, appointments, event schedules and bookings.
Preparing and negotiating event contracts as required, in line with the direction of the Sales Manager.
Planning and coordinating event requirements, including room layouts, catering, food and beverage, equipment and other event services.
Working with internal teams, suppliers and external partners to ensure all event requirements are delivered to a high standard.
Leading and coordinating staff to arrange catering, supplies, audio-visual equipment and other event requirements.
Preparing event budgets, monitoring costs and providing progress updates.
Tracking event finances, including invoicing, on-billing and reporting.
Completing event risk assessments and ensuring events are delivered safely and in accordance with venue procedures.
Anticipating guest needs and ensuring service exceeds expectations.
Leading and coordinating event delivery teams on event days.
Managing on-site event operations, including set-up, pack-down and wash-up as required.
Completing event settlements and documentation accurately and within required timeframes.
Following up with clients after events to gather feedback and measure satisfaction.
Identifying opportunities to improve event planning, implementation and service delivery.
Assisting with the smooth day-to-day operation of the venue and other duties as required.
You’ll be organised, proactive and solutions-focused, with a genuine passion for delivering great events and customer experiences.
We’re looking for someone with:
Previous experience in event management, event coordination or a similar role.
Experience in event delivery and the ability to coordinate and lead teams.
Strong organisational, project management and time management skills, with the ability to manage multiple events and deadlines.
Excellent written and verbal communication skills, including proofreading and the ability to build rapport with clients.
Confidence promoting the venue, managing client relationships and negotiating event requirements.
Strong attention to detail and the ability to follow established systems and processes.
Commercial awareness and an understanding of budgets, costs and financial reporting.
A customer-focused approach and a genuine commitment to delivering exceptional experiences.
A proactive, practical and solutions-driven attitude.
The ability to work under pressure, solve problems and adapt to changing client and event requirements.
Strong computer skills, including Microsoft Word, Excel, and email.
An understanding of health and safety requirements, risk management and safe event delivery.
Experience or an understanding of managing external suppliers, contracts and budgets.
The ability to work independently, manage competing priorities and demonstrate strong self-management.
A professional, reliable and flexible approach, including availability to work evenings, weekends and public holidays as required.
High levels of personal integrity, accountability and a willingness to support colleagues.
You’ll be part of a busy, hands-on team delivering a diverse range of events throughout the year, from live entertainment and sporting events to corporate functions and community celebrations.
This is an opportunity to take ownership of events, build strong client relationships and develop your career in the events industry.
If you love the buzz of a live event and enjoy making things happen, we’d love to hear from you.
