Job summary

Spa World in Nelson is seeking a Service and Warranty Administrator to join our after-sales team. You’ll manage warranty claims, coordinate parts and scheduling, and keep customers informed throughout the process.

Join a supportive team focused on delivering excellent service and maintaining smooth operations across our spa brands. This role is based in our Nelson office with opportunities to learn and grow.

Qualifications

• Some admin or office support experience.
• CRM experience is a bonus and helpful for daily workflows.
• Strong attention to detail is essential for orders and claims.
• A friendly, patient manner with customers, even when frustrated.
• Willingness to learn and ask questions as processes grow.
• Ability to work from the Nelson office.

Responsibilities

• Log and process warranty claims in the CRM for team review.
• Keep customers updated on claims, parts and job progress.
• Raise purchase orders, sales orders and picking slips accurately.
• Arrange dispatch of warranty parts and track to delivery.
• Help scheduling team book jobs for field technicians.
• Check and process invoices from Spa World and third-party techs.
• Assist with returned products paperwork and tracking.
• Answer warranty calls and emails, escalating when needed.
• Keep records updated so the team can locate information quickly.
