Truck Stops (NZ) Ltd in Christchurch is seeking a Parts & Service Assistant to join our busy supersite. The role blends parts and service support, helping customers, technicians and workshop operations run smoothly.

You'll handle service bookings, parts procurement, invoicing, and general administration, with a focus on delivering excellent customer experiences and efficient workflow across both functions.

Qualifications

• Experience as a service advisor within the heavy transport or automotive industry.
• Strong customer service and relationship-building skills.
• Ability to juggle multiple priorities with attention to detail.
• Proficiency with computer systems, invoicing platforms, and administrative processes.
• Effective communication with customers, technicians, suppliers, and colleagues.
• Professional and organized approach to customer experience.

Responsibilities

• Manage customer enquiries, service bookings, and job card creation.
• Monitor repair progress, provide updates, and obtain approvals for additional work.
• Liaise between customers, technicians, and suppliers to ensure efficient workflow.
• Support recall campaigns and help deliver an outstanding customer experience.
• Source, order, receive, and distribute parts for workshop and customer requirements.
• Monitor inventory levels, stock movements, and assist with stocktake activities.
• Prepare parts quotations and identify cost-effective procurement solutions.
• Coordinate parts freight, deliveries, and promote parts products and services to customers.
• Prepare, review, and invoice work in progress (WIP) for both Parts and Service, ensuring costs, documentation, and approvals are complete.
• Process supplier and outworker invoices, reconcile payments, manage EFTPOS settlements, and maintain accurate financial records.
• Maintain branch administration, including reporting, filing, payroll support, mail distribution, stationery management, and customer documentation.
• Ensure all records, stock paperwork, and service documentation are accurately processed, filed, and maintained in line with company policies and procedures.
