Job summary

Qualifications

  • Experience in a project coordination or professional services administration role.
  • Experience supporting client-facing teams within a consulting, engineering, legal, architectural, accounting, or similar professional services environment preferred.
  • Strong Microsoft Word and document formatting capabilities.
  • Exceptional attention to detail and accuracy when working with large, complex documents.
  • Excellent organisational and time management skills with the ability to manage multiple priorities.
  • Strong communication and relationship-building skills.
  • Confidence using technology and learning new systems.
  • A proactive approach and willingness to take ownership of tasks.
  • The resilience and confidence to follow up stakeholders, drive actions forward, and keep projects moving.
  • A positive, team-focused attitude and strong customer service mindset.

Responsibilities

  • Preparing and formatting technical reports, specifications, proposals, meeting minutes, correspondence, and project documentation.
  • Supporting senior technical staff with diary management, meeting coordination, document preparation, and administrative requirements.
  • Assisting with project planning, delivery schedules, and tracking key actions and deadlines.
  • Managing large and detailed project documentation, including council and consenting-related material.
  • Supporting building consent applications and amendments as required.
  • Assisting Job Managers with invoicing, fee administration, and data entry.
  • Coordinating meetings, including Microsoft Teams and Zoom arrangements, agendas, and minutes.
  • Maintaining project records, filing systems, and document management processes.
  • Providing general office and administrative support, including reception cover, visitor management, and office coordination duties.
  • Supporting broader business operations including ordering supplies, coordinating catering, fleet administration, and other business support tasks.

The Role

As the Project Support Coordinator, you will provide critical administrative and project support across multiple client engagements. Role Requirements

To be successful in this role, you will bring:

  • Previous experience in a project coordination, project administration, or professional services administration role.
  • Experience supporting client-facing teams within a consulting, engineering, legal, architectural, accounting, or similar professional services environment preferred.
  • Strong Microsoft Office skills, particularly advanced Word and document formatting capabilities.
  • Exceptional attention to detail and accuracy when working with large, complex documents.
  • Excellent organisational and time management skills with the ability to manage multiple priorities.
