Parallaxx Limited is seeking a Planning and Projects Coordinator in Waitakere, North Island, to manage the intake of enquiries, coordinate project activity, and align deliveries across NZ and the Philippines. You will work closely with the COO and delivery teams to ensure client requirements and project priorities are translated into successful outcomes.

This 8-month fixed-term role focuses on coordinating scoping, forecasting, and readiness, while supporting system improvements and knowledge

Qualifications

  • Experience in project coordination, project administration, operations, planning, or a similar role.
  • Strong organisational, planning, and time management skills.
  • Experience coordinating multiple stakeholders and competing priorities.
  • Experience with systems, data, forecasts, and project information.
  • Experience in TTM, infrastructure, engineering, construction, transport, professional services, or another project-based environment.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and the ability to follow through on commitments.
  • A practical, solutions-focused mindset and willingness to learn.

Responsibilities

  • Coordinate incoming enquiries, leads, and project opportunities, ensuring they are accurately captured, assigned, and progressed.
  • Support project scoping and estimating activities by working with technical specialists to define requirements, effort, and delivery approaches.
  • Maintain pipeline, forecasting, and workload planning information to support business and resourcing decisions.
  • Identify risks, resource constraints, and gaps in project readiness, escalating issues where required.
  • Prepare contracts and supporting documentation for executive review, maintaining complete and accurate records.
  • Support organisational improvement, capability development, and industry initiatives through research, coordination, and follow-through.
  • Capture client feedback and lessons learned to support continuous improvement in project delivery and client experience.
  • Build strong working relationships across our New Zealand and Philippines operations to support alignment, communication, and successful project outcomes.

Planning and Projects Coordinator (8 month fixed-term)

At Parallaxx, we're experts in risk-based, right-sized temporary traffic management. We work alongside our clients to solve complex challenges, deliver safer outcomes, and keep projects moving.

We're looking for a Planning & Projects Coordinator to join our team full-time on an 8-month fixed-term contract covering parental leave.

This role is the operational front door to Parallaxx and plays an important bridging function between our New Zealand and Philippines operations. Working closely with the COO, technical specialists, and delivery teams, you'll ensure client requirements, project priorities, and operational plans are clearly understood and effectively translated into successful delivery outcomes.

About the Role

Reporting to the COO, you'll be a central point of coordination across our New Zealand and Philippines teams. You will maintain visibility of incoming work, support project planning and forecasting, and ensure projects are scoped and prepared for successful delivery. The role also contributes to selected organisational improvement and capability development initiatives that support the continued growth of the business.

You will

About You

You'll be highly organised, proactive, and comfortable managing multiple moving parts while maintaining a strong customer focus.

Ideally, you'll bring:

  • Experience in project coordination, project administration, operations, planning, or a similar role, ideally with exposure to TTM.

  • Strong organisational, planning, and time management skills.

  • Experience coordinating multiple stakeholders and competing priorities.

  • Experience with systems, data, forecasts, and project information.

  • Experience in TTM, infrastructure, engineering, construction, transport, professional services, or another project-based environment.

  • Excellent written and verbal communication skills.

  • Strong attention to detail and the ability to follow through on commitments.

  • A practical, solutions-focused mindset and willingness to learn.

Desirable
  • Experience working with distributed or international teams.

  • Experience supporting projects across multiple countries or locations.

  • Understanding of Filipino culture and workplace practices.

  • Ability to communicate in Filipino (Tagalog) or another Philippine language would be advantageous.
