Health New Zealand | Te Whatu Ora is seeking a highly organised Onboarding Advisor based in Hamilton to join a busy HR team on a fixed-term basis until 5 February 2027. The role supports employees, managers and new starters with HR queries, documentation and onboarding activities.

You will collaborate with AskHR, Recruitment, Payroll and the wider People & Culture team to ensure timely, accurate processes and a great customer experience.

Qualifications

  • Experience in HR administration, onboarding, recruitment support, payroll administration, or a similar customer-focused administrative role.
  • Strong organisational skills with the ability to manage competing priorities and deadlines.
  • Excellent attention to detail and a commitment to maintaining accurate records and data.
  • Strong communication and relationship-building skills.
  • Confidence using Microsoft Office and other business systems.
  • A collaborative approach with a focus on continuous improvement and delivering excellent customer service.
  • A qualification in HR, business, or a related discipline, or equivalent relevant experience would be advantageous.

Responsibilities

  • Provide first-line HR support to employees and managers through to resolution or clear handover.
  • Receive, check, track and process HR requests in line with policies, approvals and timeframes.
  • Prepare employment documentation and coordinate pre-employment activities (vetting, checks, eligibility to work).
  • Maintain accurate, timely HR data across systems while protecting confidentiality of information.
  • Build constructive relationships across People & Culture and identify process improvements for the customer experience.

About the Role

This is a busy and varied full time fixed term role through to 5 February 2027, supporting employees, managers and new starters across a range of HR services. As an Onboarding Advisor, you will respond to HR queries and requests, prepare employment documentation and coordinate the activities needed to support new employees into the organisation. Working closely with AskHR, Recruitment, Payroll and the wider People & Culture team, you will help ensure information is complete, processes are followed and customers receive clear, timely and professional support. This role will suit someone who is highly organised, comfortable managing competing priorities and committed to getting the details right.

Key responsibilities
  • HR queries: Provide first-line support to employees and managers, taking ownership of enquiries through to resolution or ensuring a clear and appropriate handover.
  • HR requests: Receive, check, track and process HR requests in line with relevant policies, employment agreements, approval requirements and agreed timeframes.
  • Recruitment support and onboarding: Prepare employment documentation and coordinate pre‑employment activities, including police vetting, qualification and registration checks, eligibility to work in New Zealand and other required documentation.
  • Data integrity: Maintain accurate, timely and complete information across HR systems and employee records, while protecting the privacy and confidentiality of personal information.
  • Service and relationships: Build constructive working relationships across People & Culture and identify practical opportunities to improve processes, information and the customer experience.

About Hamilton

Waikato Hospital is a major regional hospital in Hamilton and is a leading tertiary teaching hospital located in Hamilton, New Zealand, serving as the regional hub for the Midland area, which includes the Waikato, Bay of Plenty, Lakes, Tairawhiti, and Taranaki districts. With around 722 inpatient beds, 22 operating theatres, and a dedicated outpatient clinic and procedure centre, Waikato Hospital provides comprehensive hospital services, including radiology, laboratory, and pharmacy.
