Heart Saver NZ seeks an Office & Dispatch Administrator to join our Kumeu team. This role blends practical warehouse tasks with essential admin work, keeping orders moving and stock accurate.
You will process orders and invoices, dispatch goods, handle calls and inquiries, and maintain stock visibility. A practical, hands-on approach and reliability are valued as you support a busy, customer-focused operation.

We are now looking for an Office & Dispatch Administrator to join our Kumeu-based team.
This is a varied, practical role combining:
Customer order processing, invoicing and dispatch
Incoming calls and customer enquiries
Goods inwards, stock and warehouse responsibilities
You will be responsible for seeing customer orders through from receipt to dispatch - checking the details, preparing invoices, confirming payment, picking and packing products, and getting everything out the door accurately and on time.
You will also be the first point of contact for incoming calls and deliveries, providing a helpful and professional response and ensuring enquiries reach the right person.
Importantly, this is not a solely desk-based administration role. You will be based in our warehouse area, receiving deliveries, opening and checking inward goods, packing orders, stocking shelves, preparing stock for our travelling team and keeping the warehouse organised.
It will suit someone who enjoys variety and likes being on their feet during the day rather than sitting behind a computer from start to finish.
You’ll be part of a small, close-knit team where everyone contributes across different areas of the business. We are looking for someone who is practical, organised, reliable and comfortable taking ownership of their work.
Process and invoice customer, web and product orders accurately
Pick, pack, label and dispatch orders through our courier systems
Answer incoming calls and action customer and team enquiries
Receive, check, receipt and store inward goods
Monitor stock levels and assist with regular supplier orders
Prepare and check stock required for our travelling team
Maintain accurate customer, job, payment and stock information
Keep dispatch and warehouse areas clean, safe and organised
We are looking for someone who combines strong administration and customer service skills with a practical, hands-on approach.
You may come from a background in:
Order processing or sales administration
Customer service or office administration
Dispatch or warehouse administration
Inventory, stock control or goods inwards
A combined office and operational support role
To be successful, you will ideally bring:
Experience processing orders and preparing customer invoices
Strong accuracy, numeracy and attention to detail
A confident, warm and professional telephone manner
Good organisation and the ability to manage changing priorities
Confidence using systems and technology
A practical approach and willingness to help wherever needed
The ability to work independently and follow tasks through to completion
Experience using Xero, simPRO, Shopify, courier systems or similar platforms would be useful, but is not essential.
You must also be physically comfortable regularly lifting, carrying, moving and stacking cartons, products and stock using safe manual-handling practices. This is an important and genuine part of the role.
