Job summary

Summit Sports Medicine is seeking a Medical Administrator/Receptionist in Mount Maunganui, Bay of Plenty. This part-time role (24-32 hours/week) handles patient interactions, admin tasks, and clinical support to ensure a welcoming, efficient service. Competitive pay based on experience and qualifications.

You will greet patients, support the clinical team, manage registrations and appointments, handle billing and referrals, and assist with general office duties in a busy sports medicine practice.

Qualifications

  • Experience in medical or healthcare administration preferred.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication.
  • Proficiency with computer systems and medical practice management software.
  • Knowledge of medical terminology and confidentiality requirements.

Responsibilities

  • Greet and assist patients in a professional, friendly manner.
  • Support clinical team with clinics and patient flow.
  • Receive referrals, register patients, and schedule appointments.
  • Handle billing and payments, explain fees and claims.
  • Manage radiology referrals and follow up results in clinic.
  • Coordinate with staff to ensure smooth operations.
  • General office administration including filing and data entry.
  • Answer patient inquiries by phone and email with clinical support.

Job description

Summit Sports Medicine is seeking a Medical Administrator/Receptionist to join our team in Mount Maunganui, Bay of Plenty. This is a part‑time position (24-32 hours per week) that plays a crucial role in ensuring the smooth operation of our medical practice. As the first point of contact for our patients, you will be responsible for managing administrative tasks, patient interactions, and clinical support that directly contribute to the quality of care we provide. This role is essential to ensuring our patients receive a welcoming and efficient service. Competitive pay, relative to experience of applicant.

Key responsibilities
  • Greeting and welcoming patients in a professional and friendly manner
  • Supporting the clinical team with their clinics
  • Receiving referrals, managing patient registration and appointment scheduling
  • Handling patient billing and payment processing, providing clear information regarding fees and claims
  • Managing radiology referrals and results, ensuring prompt follow up in clinic
  • Coordinating with other staff to ensure smooth patient flow and efficient clinic operations
  • Managing general office administration including correspondence, filing and data entry
  • Answering patient enquiries by phone and email with assistance from clinical staff
  • Accurately checking and sending clinic letters to patients and referrers
What we're looking for
  • Ideally experience working in a medical or healthcare administration environment, although experience in other administration roles also considered
  • Strong organisational and time management skills with the ability to manage multiple tasks simultaneously
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with patients and staff
  • Proficiency in using computer systems and medical practice management software
  • Customer service excellence with a patient‑focused approach and empathy
  • Knowledge of medical terminology ideal and ability to understand and follow healthcare confidentiality and privacy requirements essential
  • Attention to detail and accuracy in record keeping, proof reading and administrative tasks
  • Knowledge of health insurance and ACC claims processes would be advantageous
