Job summary

HIGH TRADE CONSORTIUM SDN BHD in Kota Bharu, Malaysia, seeks a diligent administrative assistant to support the workshop's daily operations. You will handle job orders, quotations, invoices, delivery orders and other workshop documents, ensuring accuracy and timely filing.

You will also record vehicle details, repair status and service history, coordinate servicing appointments, monitor job progress with the Workshop Manager, manage stock movements, and generate regular reports to assist sales

Responsibilities

• Handle daily administrative tasks and documentation for the workshop.
• Prepare and maintain job orders, quotations, invoices, delivery orders and other workshop-related documents.
• Assist in recording customer vehicle details, repair status and service history.
• Coordinate with customers regarding vehicle servicing, repair appointments and collection.
• Assist the Workshop Manager in monitoring daily workshop operations and job progress.
• Record and update spare parts, workshop materials and stock movement.
• Prepare daily and monthly reports related to workshop operations and sales.
• Assist in preparing quotations and invoices for customers.
• Maintain proper filing of workshop documents and records.
• Coordinate with mechanics, service advisors, suppliers and other departments when required.
• Perform data entry and update records in the company system/Excel.
• Handle general administrative duties and any other tasks assigned by the management.
