Job summary

FM Global Logistics in Port Klang, Malaysia seeks a Workshop Administration Clerk to support fleet maintenance and logistics operations.

You will maintain filing, prepare work orders, schedules PMs, coordinate with mechanics and vendors, and assist in reports. Proficient Excel/Outlook and 1-3 years' experience are preferred.

Qualifications

• 1-3 years in workshop administration, fleet maintenance, logistics, or transport operations.
• Haulage industry experience is an advantage.
• Proficient in Microsoft Excel, Word and Outlook.
• Experience with fleet maintenance or ERP systems is an advantage.
• Strong organizational and time-management skills.
• Good communication and coordination abilities.
• Ability to multitask and work under pressure.

• Maintain workshop filing systems and vehicle maintenance records.
• Prepare work orders, job cards, and service reports.
• Update maintenance schedules and repair history.
• Assist in preparing monthly workshop reports.
• Schedule preventive maintenance (PM) for trucks and trailers.
• Coordinate repair appointments with mechanics and external vendors.
• Monitor repair progress and update operations on vehicle status.
• Ensure completed repairs are properly documented.
• Spare Parts Management
• Record spare parts issuance and stock movement.
• Monitor inventory levels and prepare purchase requisitions.
• Coordinate with suppliers for quotations and deliveries.
• Verify received spare parts against purchase orders.
• Compliance & Documentation
• Maintain vehicle inspection records.
• Track road tax, insurance, PUSPAKOM inspection, and permit expiry dates.
• Ensure maintenance documentation complies with company requirements.
• Liaise with external workshops and service providers.
• Request quotations for repairs and spare parts.
• Monitor vendor performance and turnaround time.
• Reporting
• Prepare daily, weekly, and monthly reports on: Vehicle breakdownsPreventive maintenance status
• Workshop costs
• Spare parts consumption
• Other Duties
• Support the Workshop Manager in daily operations.
• Assist with audits and documentation.
• Perform other administrative duties assigned by management.

Requirements

• 1-3 years in workshop administration, fleet maintenance, logistics, or transport operations.
• Experience in the haulage industry is an advantage.
