Job summary

SPHINX PRECISION SDN. BHD. is seeking an HR & Admin Manager to lead HR and administrative operations within our Malaysia-based manufacturing environment. You will drive people processes, policy development, and organizational excellence while partnering with management and HODs.

The role requires hands-on leadership, strong knowledge of Malaysian employment laws, and a track record in payroll, foreign worker management, and performance management to support growth.

Qualifications

• Diploma/Degree in Human Resources Management, Business Administration, Management or a related discipline.
• Minimum 5 years of managerial experience in Human Resources, preferably in a manufacturing environment.
• Strong knowledge of Malaysian employment laws, statutory requirements and HR best practices.
• Hands-on experience in payroll, employee relations, disciplinary matters and foreign worker management.
• Experience in managing annual performance appraisals, KPI/performance management, training & development and employee competency management.

Responsibilities

• Lead and manage the full spectrum of HR & Administration functions.
• Manage recruitment, onboarding, confirmation, promotion, transfer, resignation and employee exit processes.
• Oversee payroll, attendance, overtime, leave, statutory contributions and HR records.
• Manage foreign worker administration, including work permits, renewals, FOMEMA, accommodation and related matters.
• Handle employee relations, grievances, disciplinary matters, counselling and performance issues.
• Ensure compliance with Malaysian employment laws, statutory requirements and Company policies.
• Develop, review and maintain HR policies, Employee Handbook, employment contracts, SOPs and HR procedures.
• Manage the annual performance appraisal process, including appraisal planning, coordination with HODs, performance review and follow-up actions.
• Plan and coordinate employee training & development, including annual training plans, training needs analysis, training effectiveness evaluation and training records.
• Manage the Employee Competency Matrix, competency assessments and development plans in coordination with HODs.
• Coordinate employee KPI and performance management processes.
• Support ISO 9001, customer and internal/external audits relating to HR, training and employee competency.
• Manage general administration, including office facilities, company assets, hostels and company vehicles.
• Prepare HR reports, manpower planning and workforce analysis for Management.
• Provide HR advice and support to Management and HODs on employee and organisational matters.
• Lead and supervise the HR & Admin team.
• Perform other duties as assigned by Management.
