Qualifications

Job description

We are looking for a Shipping Officer to manage and coordinate our inbound and outbound shipping activities in a timely, accurate, and cost-effective manner.

You will oversee shipments from the initial order or shipping instruction through documentation, customs declaration, clearance, delivery, and shipment closure. You will also ensure that all shipping activities comply with Malaysian Customs requirements, Licensed Manufacturing Warehouse (LMW) regulations, company procedures, and international trade documentation requirements.

This role requires close coordination with Planning, Purchasing, Warehouse, Production, Finance, freight forwarders, transporters, customs agents, and relevant government authorities.

Key Responsibilities

1. Inbound Shipping Operations

Coordinate import shipments and delivery schedules.

Liaise with suppliers, freight forwarders, transporters, and customs agents.

Monitor shipment progress and customs clearance status.

Verify inbound shipping documents.

Ensure materials are delivered on time with accurate documentation.

Minimise shipment delays and customs clearance issues.

2. Outbound Shipping Operations

Coordinate export shipments based on customer delivery requirements.

Arrange freight bookings, transportation, and loading schedules.

Prepare and verify export documents.

Track shipments until delivery is completed.

Ensure shipments are dispatched on time with complete and accurate documentation.

3. LMW and Customs Compliance

Prepare and coordinate customs declarations.

Ensure all goods movements comply with LMW requirements.

Maintain complete customs records and supporting documents.

Liaise with Malaysian Customs and appointed customs agents.

Support customs inspections and audits.

Minimise customs discrepancies and compliance findings.

4. Shipping Documentation and Records

Prepare and verify invoices, packing lists, Bills of Lading or Air Waybills, permits, and other shipping documents.

Maintain proper shipment records and filing.

Reconcile shipping documents against ERP records and physical cargo.

Investigate and correct any documentation discrepancies.

Ensure records are complete, traceable, and ready for audit.

5. Logistics Coordination and Shipment Tracking

Coordinate with Warehouse, Planning, Purchasing, Production, and Finance teams.

Monitor shipping schedules and shipment priorities.

Follow up with logistics service providers.

Escalate shipment delays and operational issues promptly.

Support the achievement of agreed logistics service levels.

6. Inventory and Customs Reconciliation

Reconcile physical inventory, ERP transactions, and customs records.

Investigate discrepancies involving quantities, values, or transactions.

Coordinate corrective actions with the relevant departments.

Ensure discrepancies are properly resolved and closed.

Reduce customs and inventory variances.

7. Compliance, Audit, and Continuous Improvement

Ensure shipping activities comply with company SOPs, customs requirements, and LMW regulations.

Support internal and external audits.

Identify process gaps and improvement opportunities.

Implement corrective and preventive actions.

Help improve shipping processes and reduce recurring errors.

Key Decisions in This Role

Select the most suitable shipping method, timing, and priority based on production needs, customer commitments, shipment urgency, freight costs, and available transport capacity.

Escalate significant cost or service-level concerns to the Logistics Manager.

Decide the appropriate action when there are differences between shipping documents, physical goods, ERP records, or customs declarations.

Hold, clarify, correct, or escalates shipments when necessary to ensure Customs and LMW compliance before proceeding.

Qualifications

Diploma or Degree in Logistics, Supply Chain Management, International Trade, Business Administration, or a related discipline.

Experience and Knowledge

2 to 4 years of experience in shipping, logistics, import and export, or customs operations.

Experience in a manufacturing environment is preferred.

Experience in LMW operations and Malaysian Customs procedures is highly advantageous.

Familiarity with import and export documentation and customs declarations.

Experience working with freight forwarders, customs agents, and transport providers.

Working knowledge of ERP systems, including shipment and inventory transactions.

Good knowledge of Microsoft Office, particularly Excel.

Good written and verbal communication skills in English and Bahasa Malaysia.
