OneEmpower is looking for a Senior HR & Admin Executive to support the Kuala Lumpur office and manage the day-to-day HR operations and office administration for the Malaysia team. Reporting to the Group HR function in Singapore, you will serve as the key local HR and administrative point of contact in Malaysia. You will be responsible for supporting the full employee lifecycle, payroll and statutory administration, recruitment coordination, HR documentation, employee matters and office operations, while ensuring alignment with Group HR policies and local requirements. This is a hands‑on role suited to an experienced HR generalist who is organised, resourceful and able to work independently with minimal supervision.
Key responsibilities
- Manage day-to-day HR operations and administration for employees in the Malaysia office
- Coordinate the full employee lifecycle, including onboarding, confirmation, employee movements, contract renewals, salary adjustments, transfers and offboarding
- Prepare and maintain employment contracts, HR letters, employee records and other employment-related documentation
- Maintain accurate and up-to-date employee information, personnel files and HR records
- Administer employee leave, attendance, claims and other HR-related records in accordance with Group policies
- Coordinate monthly payroll processing and ensure employee payroll information is submitted accurately and on time
- Coordinate statutory contributions and payroll-related requirements, including EPF, SOCSO, EIS and PCB
- Coordinate recruitment activities for Malaysia, including job postings, candidate screening support, interview scheduling and communication with candidates and hiring managers
- Manage new joiner onboarding arrangements, including employee documentation, workplace access, equipment and orientation coordination
- Support the implementation and administration of performance management processes, employee engagement initiatives and other HR programmes.
- Support HR compliance activities and ensure HR practices and documentation are aligned with applicable local requirements and Group HR policies.
- Work closely with the Group HR function in Singapore on Group-wide HR policies, processes, compliance initiatives and other HR matters as required, including supporting HR activities involving other regional offices where necessary.
- Assist with HR reporting, documentation reviews, HR projects and process improvement initiatives led by Group HR
- Oversee the day-to-day administrative requirements of the Kuala Lumpur office
Requirements
- Diploma or Degree in Human Resources, Business Administration, Management or a related discipline
- At least 5 years of relevant HR and administration experience
- Hands‑on experience in employee lifecycle administration, payroll coordination, recruitment and HR documentation
- Good working knowledge of Malaysian payroll and statutory requirements, including EPF, SOCSO, EIS and PCB
- Practical understanding of Malaysian employment legislation and HR compliance requirements
- Strong attention to detail with good documentation and record‑management discipline
- Strong organisational, coordination and follow‑up skills, with the ability to manage multiple priorities
- Able to work independently, exercise good judgement and elevate matters appropriately
- Good written and verbal communication skills and comfortable working with stakeholders across different levels and regional offices
- Able to handle confidential and sensitive employee matters with professionalism and discretion
