ESSEX SOLUTIONS (KUALA LUMPUR) SDN. BHD. is seeking a proactive HR professional to support day-to-day HR functions including payroll, recruitment, employee relations, training administration, and compliance with Malaysian labour laws.
The role covers payroll processing, benefits, statutory submissions, talent acquisition, onboarding, industrial relations, policy governance, and performance management in a manufacturing plant setting.
We are seeking passionate, proactive, and people-oriented HR professionals to support the day-to-day human resource functions of our plant, including payroll, recruitment, employee relations, training administration, industrial relation, performance management, and compliance with Malaysian labour laws.
Responsibilities:
Payroll & Compensation Administration
Monthly payroll processing and ensure payroll accuracy.
Administer employee benefits, allowances, claims, overtime, incentives, and statutory deductions.
Ensure timely submission of EPF, SOCSO, EIS, PCB, and other statutory requirements.
Maintain payroll records and employee compensation data.
Prepare payment schedules and process monthly payments to suppliers, employees, and statutory bodies.
Talent Acquisition & Recruitment
Manage the full recruitment cycle, including manpower planning, job posting, sourcing, screening, interviewing, salary proposal, offer preparation, onboarding, and probation confirmation.
Work closely with Hiring Managers to understand manpower requirements and recruitment strategies.
Coordinate interviews, prepare interview evaluations, and conduct reference checks.
Build and maintain a strong talent pipeline through various recruitment channels.
Employee Onboarding & Offboarding
Coordinate employee onboarding, orientation, and induction programme.
Prepare employment contracts, confirmation letters, promotion, transfer, salary adjustment, and resignation documentation.
Conduct exit interviews and manage clearance procedures.
Employee Relations & Industrial Relations
Handle employee grievances, counselling, disciplinary matters, misconduct investigations, domestic inquiries, and conflict resolution.
Prepare warning letters, show cause letters, disciplinary documentation, and termination letters.
Ensure compliance with the Employment Act and company policies.
Foster a positive workplace culture and maintain healthy employee relations.
Assist in organizing staff events, welfare activities, and internal communications.
HR Policies, Compliance & Governance
Develop, review, and implement HR policies, SOPs, employee handbook, and HR best practices.
Ensure compliance with Malaysian Employment Act, Industrial Relations Act, Occupational Safety & Health requirements, and other labour regulations.
Support internal and external audits related to HR compliance.
Performance Management
Coordinate probation reviews, confirmation, annual performance appraisals, KPI tracking, and salary review exercises.
Support department heads in employee performance improvement initiatives and documentation
Assist HR manager in implementing performance improvement plans where required.
Learning & Development
Identify training needs and coordinate internal and external training programme.
Monitor employee training records and evaluate training effectiveness.
Support leadership development and career progression initiatives.
To provide support in Training & Development related activities (training arrangements, HRDC grant submission and follow ups, data maintenance including attendance, evaluation forms & certificates).
Maintain training records and monitor training effectiveness.
HR Operations & Administration
Maintain accurate employee records and HR documentation.
Manage attendance, leave administration, medical claims, insurance, and HRIS databases.
To ensure the upkeeping and track of documents, proper filing including employee records related to training, medical leave, and other employee data.
Prepare HR reports, organisation charts, manpower reports and turnover analysis,
Ensure all employee files and records are maintained in accordance with company policies.
Assist HR Manager in preparing and updating monthly reports/ any ad-hoc dashboard and projects.
To support flight ticket booking and hotel room reservation for staff and company guests.
Perform any other HR and administrative duties assigned by superior.
Requirements
Candidate must possess a Bachelor’s Degree in Human Resources Management, Business Administration, Psychology, or related field.
Minimum 5 years of HR experience in a manufacturing environment.
Hands-on experience in payroll, employee relations, and HR operations.
Good interpersonal, communication, and organizational skills.
Proficient in Microsoft Office applications (Excel, Word, PowerPoint, Team); experience with HRIS is an advantage
Able to work independently with minimal supervision.
Knowledge of Malaysian employment laws and statutory requirements will have an advantage
