Job description

1) GENERAL DESCRIPTION

Coordinate and deliver assigned sustainability projects across KPJ hospitals and business units under the direction of the Senior Manager, Project Operations & Delivery. Translate approved plans into work packages, coordinate hospital teams and implementation partners, and monitor progress, costs, risks and outcomes. Support energy efficiency, renewable energy, waste reduction, water conservation, green buildings and sustainable procurement initiatives. Maintain reliable project records and support handover and benefits verification to advance the Group's sustainability commitments, operational efficiency and Net Zero Roadmap.


2) JOB DESCRIPTION

Project Planning and Preparation Develop work plans for assigned projects, defining scope, deliverables, milestones, responsibilities, resources and dependencies for the Senior Manager's review. Support feasibility studies and business cases with baseline data, cost inputs and expected benefits. Coordinate site assessments and readiness checks with hospital and technical teams. Identify implementation constraints, required approvals and operational dependencies before work starts. Project Implementation and Coordination Coordinate delivery of assigned work packages with hospital teams, Sustainability Champions, contractors and other partners. Track activities against approved plans, resolve routine issues and elevate delays or decisions requiring management intervention. Arrange progress meetings and site visits; maintain action records and follow up owners. Provide practical guidance to Executives and hospital coordinators on assigned tasks, documentation and agreed delivery requirements. Technical and Operational Integration Work with qualified engineering, facilities and specialist teams to implement approved designs, specifications, SOPs and toolkits. Coordinate site works with hospital operations to protect patient care, service continuity and applicable safety and infection-prevention requirements. Identify opportunities to improve delivery methods and adapt proven solutions across hospitals. Refer technical changes, design decisions and acceptance requirements to the relevant authorised specialists. Contractor, Procurement and Cost Coordination Prepare project requirements and supporting documentation for procurement and supplier evaluation, working with Procurement, Finance and technical teams. Coordinate contractor deliverables and flag performance gaps against agreed scope and timelines. Maintain assigned project budget, commitment and expenditure trackers. Check progress and supporting records for payment or variation requests, highlight deviations and route recommendations through the applicable approval process. Progress, Risk and Change Management Maintain current project schedules, milestone records, risk and issue logs, and change requests. Assess likely effects on delivery, cost, quality and hospital operations; recommend recovery actions and elevate significant matters promptly. Prepare project status reports for the Senior Manager and provide updates to Sustainability PMO for consolidated reporting. Track agreed mitigation and corrective actions, retain closure evidence and seek approval before implementing changes to scope, budget or schedule. Benefits Tracking and Performance Evidence Establish project baselines and measurement arrangements with hospital teams, Finance and Performance & Analytics. Collect operational evidence to assess energy, water, waste, emissions and cost outcomes using agreed methods. Compare actual results with expected benefits and investigate shortfalls with project owners. Distinguish measured savings from estimates, document assumptions and provide verified project inputs to Performance & Analytics for Group reporting. Support progress tracking for the Net Zero Roadmap and other approved sustainability programmes. Identify practical improvements and opportunities to replicate successful projects across hospitals. Commissioning, Handover and Continuous Improvement Coordinate commissioning and acceptance activities with authorised technical and hospital teams. Track defects and outstanding works; organise operating procedures, maintenance requirements, training, warranties and handover records. Conduct post-implementation reviews with project owners, capture lessons learnt and monitor agreed follow up actions. Support audits, green-building assessments and other relevant reviews by maintaining complete project evidence. Stakeholder Support and Delivery Accountability Support the Senior Manager in assessing implementation partners, grant or financing opportunities, and project collaborations. Prepare operational inputs and supporting documentation for review. Support change management and user adoption activities, including awareness sessions, stakeholder engagement and implementation of sustainable operational practices. Maintain effective working relationships with hospitals and other Group Sustainability units. Support user briefings and adoption of new practices, and undertake other relevant duties assigned by the Senior Manager or Head of Group Sustainability. Track delivery against agreed milestones, cost and quality requirements, benefits evidence, handover completion and closure of assigned actions for performance review.


3) JOB REQUIREMENT

Bachelor's degree in Engineering, Environmental Science, Sustainability, Project Management, Business or a related discipline. Relevant certification in project management, energy management or green buildings is an advantage. Preferably 3-5 years of relevant experience in project coordination, operational delivery, facilities or sustainability initiatives, including work with multiple stakeholders or sites. Practical experience in project planning, contractor coordination, progress and cost tracking, issue resolution and handover. Exposure to energy efficiency, renewable energy, water, waste or green-building projects is desirable. Understanding of procurement workflows, project documentation, risk controls and benefits measurement. Healthcare-sector experience and familiarity with hospital operational constraints are advantages. Strong planning, coordination and problem-solving skills; able to manage concurrent work packages, identify dependencies and follow through on actions. Clear written and verbal communication in English and Bahasa Malaysia. Able to work with technical and non-technical teams, guide junior colleagues and elevate issues with practical recommendations. Proficiency in Microsoft Excel, PowerPoint and project tracking tools; able to maintain schedules, cost trackers and concise status reports. Ability to review technical project information with specialist support, interpret operational data and document project outcomes. Willingness to travel for hospital site visits and implementation activities. Accountable, organised, proactive and practical, with attention to quality and detail. Collaborative and adaptable, with integrity, sound judgement and respect for patient safety, confidentiality and operational requirements.
