Responsibilities

• Manage and maintain client databases and CRM systems with accurate information.
• Process sales orders, invoices, quotations and sales docs with accuracy.
• Provide admin support to sales team: scheduling, presentations, site visits.
• Handle client inquiries via email, phone and other channels promptly.
• Prepare sales reports, metrics and analysis for management decisions.
• Coordinate with finance, operations and delivery for smooth order fulfilment.
• Maintain filing systems (digital and physical) and ensure easy retrieval.
• Assist with sales events, product launches and promotions as required.
• Monitor sales pipeline and follow up on quotes and proposals.

About the role

We are seeking a dedicated and organised Sales Support Assistant to join the team at Pristine Glory Sdn Bhd in Pusing, Perak. This is a full-time position that plays a crucial role in supporting our sales operations and ensuring seamless client interactions. As Sales Support Assistant, you will be the backbone of our sales administration function, providing essential support to the sales team and helping to drive business growth through efficient client and sales management. Your contributions will directly impact our ability to deliver exceptional service to our clients and maintain strong business relationships.

Key responsibilities

• Manage and maintain client databases and customer relationship management (CRM) systems to ensure accurate and up-to-date information
• Process sales orders, invoices, quotations and other sales documentation with accuracy and attention to detail
• Provide administrative support to the sales team, including scheduling meetings, preparing presentation materials and coordinating site visits
• Handle client inquiries and communications via email, telephone and other channels, ensuring prompt and professional responses
• Prepare sales reports, performance metrics and analysis to support management decision-making
• Coordinate with other departments including finance, operations and delivery to ensure smooth order fulfilment and client satisfaction
• Maintain filing systems, both digital and physical, and ensure all documentation is properly organised and easily retrievable
• Assist with sales events, product launches and promotional activities as required
• Monitor sales pipeline and follow up on outstanding quotes and proposals

What we're looking for

• Proven experience in a sales administration, client administration or similar office support role, ideally within a client-facing environment
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM systems or similar sales management software
• Excellent organisational and time management skills with the ability to prioritise multiple tasks and meet deadlines
• Outstanding communication skills, both written and verbal, with an ability to communicate professionally with clients and colleagues
• Strong attention to detail and commitment to accuracy in all administrative tasks
• Professional approach to client interactions and a customer service-oriented mindset
• Ability to work independently and as part of a team, demonstrating reliability and discretion with sensitive information
• Intermediate to advanced computer skills and comfort with learning new systems and software
• A high school diploma or equivalent; further qualifications in business administration, office management or a related field are advantageous
• Experience in a similar role within Malaysia or a Southeast Asian context is preferred
